Job summary

Combs Ford Surgery is looking to recruit a Data Administrator.

This role will involve a wide range of jobs within our data administration team. We are ideally seeking someone with previous experience in this field who will enjoy working within an established team. You will need to be extremely organised with excellent attention to detail and ability to multi task. Confidentiality is essential.

This role is part time for a maximum of 27 hours per week. Working pattern to be confirmed.

We are a group of 9 GP practices across Suffolk and Combs Ford Surgery supports in excess of 9,000 patients from a diverse range of backgrounds. We have an established team with a strong focus on customer service and communication. We would love to hear from candidates with GP surgery experience although we would also like to hear from those that can show flexibility and a range of transferable skills. The successful candidate should be able to work calmly and professionally as part of a team.

The selection process for this role will include a minimum of 2 people at the interview which will be on 24th May.

Main duties of the job

The main responsibilities of the post holder will be to ensure timely, accurate and consistent recording of the clinical information onto the surgery computer system.

Working as part of a team, the post holder will be responsible for coding clinical correspondence.

Administrator role is to take responsibility for administrative aspects of the practice. They are responsible for various administrative duties and accountable to the Operations Supervisor and Practice Operations Manager. This includes deductions, GP2GP transfer, Deaths, Summarising of patients notes, Administration Tasks and AMGPs.

Read coding relevant information onto the clinical system to include relevant QOF data and clinical information.

To enter problem codes into patient records.

To enter accurate and timely clinical data onto practice IT systems.

To maintain accurate patient records on the practice computer system.

Accurately summarising incoming electronic and hard copy correspondence according to agreed protocols and within agreed timescales.

To respond to and complete administration systemone tasks in a timely manner.

To respond, complete and record administrative AMGPs.

To process patient deductions, including systemone report, GP2GP transfer and sending of paper notes if necessary. Managing the process from notice of deduction to completed transfer to the new surgery.

To action and complete surgeries degraded entries in a timely manner.

To complete deduction request, ensure that the death certificate is complete and sent to the correct authority, provide any information that is needed by 3rd party on patients death or paperwork (coroner, funeral director, family)

Ensure the that the death is correctly coded on Systemone

To conduct a bereavement call to the family of a deceased patient

Undertaking other reasonable duties within the framework of the post as directed by the Operations Supervisor/Practice Operations Manager/Partners.
