Hockley Medical Practice and
Soho Road Primary Care Centre Group are looking for an Operation Manager to
support their team across 2 sites.
We are looking for an
experienced individual who has General Practice experience and is looking for a
new challenge to develop in our growing teaching Practice.
The post holder will support the
Business and Practice Manager with the day-to-day running of 2 practices at
different locations. The Operation Manager will help ensure that all aspects of
the practices are operating efficiently and effectively, co-ordinating and
enabling the work being undertaken by doctors and staff.
Main duties of the job
To support the Business and
Practice Manager with the management of the practices. To manage and coordinate
all aspects of the practices day-to-day operations; in conjunction with
Practice Manager and Assistant Manager at each site.

long-established GP training practice.
The patient population has a
range of socioeconomic issues. The groups
total practice population across both sites is 20,000 patients.

- 1. Complaint
handling ensuring patient satisfaction
- 2.
Deductions of patients who have left the
practice
- 3.
Do Not Attend (DNA) policy to be adhered and
followed.
- 4.
Make sure dedicated staff carries out weekly
vaccine stock check and order
- 5.
Support the immunisation of children practice
process
- 6.
Good working knowledge of EMIS and Docman.
- 7.
Monitoring practice generic Email and ensure
up to date
- 8.
Opening and closing the practice following agreed
rota
- 9.
Scanning and Docman daily checking has been completed
daily
- 10. Work
together with Practice Manager to ensure effective appointment system, surgery
timetables, rotas, annual leave etc.
- 11. Taking
patient calls as needed at busy times or when there are staff shortages
- 12. Monitoring
practice uptake and booking clinics for specific screening programmes and
chronic disease management
- 13. Support the
Practice Manager with HR issues as such recruitment, staff monitoring, annual
leave, rotas etc.
- 14. Ensure cold
chain of fridges is maintained by checking fridge temperatures have been taken
- 15. Sending
patients text messages inviting to attend practices for different clinics
- 16. Running
reports required for the efficient monitoring and management of chronic disease
(Diabetes, Hypertension, Cytology, etc)
- 17. Monitoring
staff online training to ensure up to date with mandatory training
- 18. Being able
to work across 2 sites
- 19. Support the
Practice Manager with building maintenance issues that might need attention
(i.e organising yearly PAT testing, calibration of equipment, fire alarm checks,
alarm yearly checks etc)
- 20. Conduct
patient surveys to assess patient satisfaction with service
- 21. Support the
practice by attending the Patient Participation Group
- 22. Support and
promote Health and Safety and Fire Safety in the workplace to ensure a safe
environment for all staff, patients and visitors.

Experience
Essential
- The successful candidate must be able to work on their own initiative and have practice management experience, along with strong IT skills.
- Must be organised and confident, have a friendly and approachable manner and able to work under pressure. Experience of working within a GP practice or other healthcare environment is essential.
- Must have experience in General Practice
- Be an experienced manager of staff, providing leadership to the team
- Have excellent communication and leadership skills.
- Be suitably proficient with IT systems and software applications in a clinical setting (knowledge of EMISWeb desirable).
- Have an excellent understanding of the need for professional confidentiality.
- Exhibit safe, professional decision-making and high level of care for patients within the Practice.
- Work collaboratively with the wider Practice team to meet the needs of our diverse range of patients.
- Oversee rota planning of all Practice staff and Clinicians in conjunction with the Assistant Practice Managers at both sites
- Support the delivery of practice policies and procedures
- Support CQC compliance
- Full enhanced DBS clearance must be met.
