Job summary

This is a temporary post for 6 months, with a view to becoming permanent.

The duties of the post will include assisting in the delivery of an administrative support to the Corporate Team across a full range of corporate responsibilities including HR, H&S, Facilities Management etc.

Main duties of the job

Assist in the administration of:

o Offers & Contracts (including all new starter paperwork)

o Staff inductions

o DBS requests

o Training and development.

o Leavers

Assist in the implementation of an effective staff appraisal and monitoring systems.

Administer up-to-date HR documentation including

o Job descriptions

o Employment contracts

o HR Policies & Procedure

o New Starter Documentation

o Recruitment & Selection Documentation

Ensure all HR Databases are up to date.

Administer the Statutory & Mandatory Training logs of all staff.

Diary management for the Corporate team.

Manage meeting requests and take meeting minutes.

Take phone calls for the Corporate team

Prepare general correspondence and draft responses to correspondence on instruction from the Compliance Officer

Administer all contract renewals on authorisation from the Compliance Officer

Manage all hospitality requests.

Manage Social Media on the instruction from the Corporate team.

Open and administer incoming post addressed to the Corporate team.

Administer all building maintenance requests.

Administer call out requests regarding the buildings alarm systems

Manage all requests for fobs/door passes.

Administer photocopier meter readings on a monthly basis and manage any breakdowns with the provider.

Administer franking machine consumables

Responsible for Key Management administration

Administer all uniform requests.

Manage all stationery requests.

Experience

Essential

  • Previous corporate administration experience
  • Experience of working in a HR or H&S Administration role
  • Experience of taking information from a number of sources and providing analysis and a summary of the information
  • Knowledgeable about Recruitment and Selection, Training and Development

Qualifications

Essential

  • Educated GCE A-C or 4-9 in English and Maths

Desirable

  • Knowledge of Employment Law, H&S legislation and Risk Assessment.
