Job summary

Thorpe Doctors Surgery in Thorpe-le-Soken, Clacton-on-Sea, is looking to recruit a new member of staff to join our friendly team.

We are looking for a full time Medical Receptionist or job share to cover 37.5 hours per week. The successful candidate will work Monday to Friday working 6 hour shifts between the hours of 8.00 am and 6.30 pm, across our 2 practices, Thorpe and Kirby Surgery. Shifts can be discussed.

You will be working in a very busy environment answering telephone calls, making appointments, scanning, meeting and greeting patients, general administration. You must have excellent communication and organisational skills and the ability to work under pressure are essential. A good telephone manner is essential. Previous experience of working in primary care and knowledge of EMIS web would be desirable but not essential as full training will be given.

Flexibility is a priority to cover additional hours during holiday/sickness absence of colleagues to keep the Surgery running efficiently.

Main duties of the job

To ensure that the reception area of the Practice runs smoothly, provides a high level of service to patients, doctors, nurses and other members of the Practice team. Please also see attached job description.

Job description

Job responsibilities

Dealing with appointment requests and using the triage template

Signposting patients to various NHS and other providers as appropriate

Giving out test results in line with protocols

Dealing with general enquiries by telephone and face to face

Dealing with Home visit requests

Taking and recording clinical messages for members of the practice team

Taking the initiative when required to instruct patients to call 999 when symptoms fall within the emergency protocol

Make refreshments for doctors and other team members, participate in washing up

Greeting and directing patients and visitors around the building

Making appointments in line with the protocols laid down for the various clinical grades

Handing out prescriptions and checking validity of medication and requests

Ensure outstanding queries are explained and handed over to next shift, as necessary

Respond to needs of doctors and nurses during surgery

Collect payments from patients for NHS and non-NHS services

Deal with general enquiries and complaints via telephone, email, texts and face to face

General housekeeping (e.g. dealing with any bodily accidents in the waiting room)

Observe health and safety and infection control guidelines at all times

To open, scan and code incoming post as required

Dealing with requests for repeat prescriptions in line with

Dispensing protocol

Medication deliveries

Input and extract information from Practice computer system, using in house computer systems

To deal with all aspects of patient deductions, liaising with PCSE, chasing records

To amend change of addresses on patient record and scanning into patient notes, patient online services, temporary residents

To open, scan and code incoming post as required

To receive medical records from contractor services and log them in using the current practice system

Ensure all paperwork and patient data relating to new registrations is complete and correct and to register patients onto the EMIS system accordingly and scan on all paperwork relating to the new patient

To work at both Thorpe-le-soken and Kirby Cross as a receptionist covering all aspects of working front of house.
