Job summary

We are a tight medium size practice, with supporting each other, especially the team that a secretary will be working within.

Our GP's are staff friendly and always willing to help if called up.

Our Management team are there to lend a listening ear with any personal issues that an employ wishes to raise. 

Main duties of the job

As practice medical secretary the role is patient focused, ensuring referrals are processed in the correct manner, dealing with both patients and third party requests for medical reports and records.Supporting other administrative colleagues with administrative roles.

Our team is made up of

5 doctors, 1 practice nurse, 1 Healthcare assistant, 1 Practice Manager and 1 deputy manager,  8 reception staff, 6 Admin staff & a Care Co-ordinator. 

All working to the same goal in providing the best healthcare that we possibly can.

Job description

Job responsibilities

Job summary:

To provide general secretarial support to the practice manager, doctors and practice based health professionals, involving computerised word processing programmes and audio typing skills and clerical administration as role requires.

Job responsibilities:

  • To provide an efficient audio, copy typing and word processing service for GPs and health professionals as required. This includes the typing of letters, reports, patient referrals, minutes, memorandums, etc. in an accurate and quality manner.
  • To assist the practice/deputy manager with all clerical and administrative duties.
  • To make appointments as required.
  • To type of minutes as requested.
  • To establish and maintain filing and administrative systems so that written or computer information is easily accessible and secure.
  • To retrieve medical records and assist the completion of medical/insurance records.
  • File patient records and correspondence in patient medical records.
  • To receive incoming and initiate outgoing telephone calls in order to facilitate timely and appropriate communications with others, taking messages and dealing with appropriate queries.
  • To maintain the computer clinic system in an accurate and secure manner.
  • To assist with the gathering of statistics and information when required.
  • To provide cover for members of the secretarial team during periods of sickness and annual leave.
  • Ensure adequate supplies of office stationery for secretarial duties.
  • To receive and dispatch mail and monitor email account on a rota.
