We have a fantastic opportunity for an administrator to join our friendly, busy GP practice.
The successful candidate would be working within our reception and admin team to deal with a wide array of patient queries and support all members of our practice team.
Main duties of the job
We require a reliable, flexible and dedicated administrator to join our team dealing with patients in person and over the telephone. Main duties will include making appointments on our clinical computer system, inputting information into the system, general office and reception duties and answering a wide array of patient queries.
Reception experience is preferred and applicants must have good general standard of education including Maths and English GCSEs or equivalent.
One of the most valuable skills we are looking for a candidate to bring to the role is the ability to remain calm in a busy sometimes challenging environment.
All our team must work sensitivity and effectively with patient needs and maintain patient confidentiality at all times. Customer service skills are essential.
The successful applicant may be asked to cross cover across all opening hours (08:00 - 18:30) to cover sickness and holiday, therefore flexibility is essential. Please be aware of this before application.
Hours: 30 per week
Monday - 11:30 - 18:30
Tuesday - 13:30 - 18:30
Wednesday - 11:30 - 15:30
Thursday - 11:30 - 18:30
Friday - 08:00 - 15:00

We are a welcoming, busy practice team serving over 6000 patients across the local area. The Practice is open 8am to 6.30pm Monday - Friday.

- Main duties and responsibilities may include*
- Offer general assistance to the practice team and project a positive and friendly image to patients and other visitors, either in person or via the telephone.
- Ensure an effective and efficient reception service is provided to patients and any other visitors to the practice.
- Deal with all general enquiries, explain procedures and make new and follow-up appointments.
- Using your own judgment and communication skills to signpost patients and book appropriate appointments.
- Explain practice arrangements and formal requirements to new patients and those seeking temporary cover and ensure procedures are completed.
- Receive and make telephone calls as required. Divert calls and take messages, ensuring accuracy of detail and prompt appropriate delivery.
- Enter requests for home visits onto the visit book on the clinical system, ensuring careful recording of all relevant details and where necessary refer to the GP on admin.
- Advise patients of relevant charges for private (non General Medical Services) services, accept payment and issue receipts for same.
- Enter patient information on to the computer as required.
- Undertake any other additional duties appropriate to the post as requested by the Partners or the practice manager.
- Contact patients who are due recalls or appointments, such as during flu campaigns or for purposes of indicators in the Quality Outcomes Framework (QOF).
- Complete patient administration tasks such as booking follow up appointments and further testing as required.
Patient notes and correspondence:
Retrieve and re-file records as required:
Ensure correspondence, reports, results etc are opened (if paper), date stamped, filed/distributed promptly and in the correct records, ensuring that all recent correspondence is available to the doctors when patients are seen.
Ensure requests for medical records are dealt with promptly and either printed or photocopied as directed by senior staff member
Ensure all communication and events are recorded on patients records.
Premises:
Open up premises at the start of the day when first to arrive, de-activate alarm and make all necessary preparations to receive patients.
When last to leave at the end of the day, ensure that the building is totally secured, internal lights are off and the alarm activated.
