Job summary
Grosvenor Medical Centre has a fantastic opportunity for a medical secretary to join their team on a part-time basis, for 38 hours per week.
This is an essential front-line role at the practice, providing an efficient, comprehensive secretarial and administrative support service to the practice management team.
Hours:
Monday -11:00 - 18:30
Tuesday -10:00 - 18:30
Wednesday - 10:00 - 18:30
Thursday - 10:00 - 18:30
Friday - 13:30 - 18:30
Main duties of the job
The successful candidate will be responsiblefor undertaking a wide range of secretarial and administrative duties and provide administrative support to the multidisciplinary team.
Duties can include, but are not limited to, the processing of information (electronic and hard copy) in a timely manner, liaising with multidisciplinary team members and external agencies such as secondary care and community service providers in accordance with current policies, including the use of the electronic referral service (ERS).

Job responsibilities
Main duties include - but are not limited to
- Providing a full secretarial service including efficient typing, copy-typing and word processing, for all GPs and health professionals, as required, including the use of ERS. This includes the typing of emails, letters, reports, patient referrals, meeting minutes, memorandums, etc., in an accurate and quality manner;
- Handling patient and practice queries, regarding hospital appointments and treatments, confidentially;
- Designing template letters and forms for use throughout the practice, as required;
- To establish and maintain filing and administrative systems so that written or computer information is easily accessible and secure.
- To receive incoming and initiate outgoing telephone calls in order to facilitate timely and appropriate communications with others, taking messages and dealing with appropriate queries.
- To provide cover for members of the team during periods of sickness and annual leave.
- Actioning incoming emails, including the processing of incoming letters.
- Data input into patient records as necesary
- Performing any reasonable administrative tasks, as requested by the practice manager, including reception cover.

- Using personal security systems within the workplace according to practice guidelines

- Using appropriate infection control procedures, maintaining work areas in a tidy and safe way and free from hazards
- Reporting potential risks identified.
