Job summary

An exciting opportunity has arisen for a Medical Adminisrator to join our practice team at Leatside Health Centre. The role is for 30hrs over 5 days.

Main duties of the job

We are looking for an experienced administrator, who preferably has experience of working within a Primary Care setting. The successful applicant will provide support for our secretarial team and must be able to use their own initiative, work under pressure, keep to deadlines and have excellent interpersonal and organisational skills.

About us

The surgery is known for its proactive approach within Primary Care and has a patient population of 16,800. We are a member of North Kerrier East Primary Care Network, and the Clinical Director is a Partner at Leatside Health Centre.

Job responsibilities

Purpose of the role

To provide general administrative support to the Practice, Doctors and Health Professionals, involving general clerical work.

Key responsibilities

The following are the core responsibilities of a Medical Administrator. There may be occasions when there is a requirement to carry out other tasks; this will be dependent on factors such as workload, staffing levels and direction of the Team Lead/Manager:

  • Process electronic referrals in an accurate and quality manner
  • Update and maintain electronic referral templates and standard letters
  • To assist the practice management team with clerical and administrative duties
  • Liaise with outside agencies and secondary care to make hospital appointments, bookings and admissions as required

  • To establish, and maintain, filing and administrative systems so that written or computer information is easily accessible and secure
  • To retrieve medical records, as necessary, and process private reports, medical attendance reports for Insurance Companies, photocopy, scan and file documents as necessary
  • Process Subject Access Requests (SARs), profile and general notes requests
  • File patient records and correspondence in patient medical records, as necessary
  • To receive incoming, and initiate outgoing telephone calls, in order to facilitate timely and appropriate communications with others, taking messages and dealing with appropriate queries
  • To maintain the computer clinic system in an accurate and secure manner
  • To assist with the gathering of statistics and information when required
  • Advise patients on the relevant charges for private and non GMS procedures, and generate invoices as necessary
  • To receive and dispatch mail, and maintain a pending system
  • To register and deduct patients, according to appropriate policies and processes
  • Process GP2GP records
  • Update and maintain the SCR
  • Process deaths, informing relevant parties, according to the appropriate policies and processes
  • Liaise with the Health Authority and PCSE
  • To monitor and process the Medical Secretary workflow/tasks inbox
  • To maintain the safeguarding adults and children register, ensuring the appropriate coding is used, records are locked for clinical access only, and documents are redacted for third party sharing of information
  • Apply practice policies, standards and guidance and amend if requested

  • Educated to GCSE level or equivalent

Desirable

  • GCSE or equivalent Maths and English C and above

Experience

  • Knowledge of IT systems, including ability to use word processing skills, email and the internet
  • Ability to prioritise workload in a methodical and logical manner
  • High level of written and oral communication skills

Desirable

  • Experience of working in a GP Practice
  • Knowledge of EMISWeb clinical system
  • Working knowledge of medical terminology
