Providing leadership to the practice team and support for the Practice Manager.

Job Summary:
Rowlands Castle Surgery delivers healthcare to a patient population of approximately 4,500 patients in Hampshire. Reporting to the practice manager, the deputy manager position is a senior leadership role providing support to the doctors, the management and surgery team.
The role has direct staff responsibilities for the reception and administration team and works closely with GPs, Nursing Team to ensure a smooth and efficient running of the practice.
The role is accountable for the introduction, implementation and measurement of quality and compliance standards to ensure the practice meets the regulatory standards and targets of the Care Quality Commission, Public Health England and local Commissioners.
An important part of the role is to support the Practice Manager in finance and budget management.
Job Description
General Surgery Organisation and Operations:
Contribute to formulation and implementation of practice strategy, new policies and the management and implementation of change.
Point of contact in PMs absence.
Waiting room displays and signage.
Surgery Newsletter quarterly.
Flu invites annual. Covid invites twice a year.
Reviewing and updating policies/protocols, in conjunction with PM.
Internal communications keeping staff informed of updates or urgent notifications.
Patient questionnaires and recording.
HR
Coaching and development of the practice team.
Assist in recruitment and selection of new staff.
New staff inductions, receiving and recording paperwork, IT systems set up.
Staff holidays receive and process requests.
Maintain sickness records.
Ensure that mandatory training is undertaken.
Finance
Petty cash/PIBs cash and cheques.
Assisting with monthly payroll.
QOF ,CQRS with PM.
Raising invoices for private paperwork.
Patients
Receive and record requests from patients for online access and proxy online access.
Receive and record LPAs.
Safeguarding: Receive and record all safeguarding information.
Health and Safety
Risk Assessments.
Keep H&S Practice up to date, in conjunction with PM.
IT
Support staff with IT issues.
Maintain website.
Meetings
Clinical meetings attend and minute meetings.
PPG minute meetings.
Target meetings - attend and lead in absence of PM.
Practice policies and Procedures
The post holder will be expected to comply with all relevant practice policies, procedures and protocols.
Care Quality Commission:Ensure full compliance with Practice policies, reporting any deficiencies, potential hazards or dangerous occurrences to the Practice Manager immediately.
Health and Safety:Participate and support Health and Safety Standards. Maintain records of incidents and undertake risk assessments.
Confidentiality: Compliance with the practice confidentiality and data protection policies.
Personal Development: Participate in an annual performance appraisal. Take responsibility for your own personal development.
