Job summary

Ladygate Lane Surgery is looking to recruit an enthusiastic Receptionist/Administrator to join our team for 20.5 hours per week over 5 days (Monday to Friday inclusive).

We are looking after approx. 2500 patients with a part time practice manager, two part-time administrators and four part time receptionist, one part time practice nurse and 3 Doctors. The successful applicant will be working on a set rota however due to the nature of the position would be required to work different shifts on a flexible basis to cover holidays and sickness between the hours of 8.00am and 6.30pm.The practice currently opens from 8:00am until 6.30pm Monday to Friday. Applicants should have excellent communication skills including a clear telephone manner and be able to work in a busy environment whilst remaining calm and approachable.

Main duties of the job

Administration

  • To have a thorough knowledge of all practice procedures
  • To work in accordance of written protocols
  • Pulling/filing notes for surgeries and updating as necessary
  • Filing post in medical records
  • Photocopy and email as requested
  • To help with recall of patients for medical reviews
  • Processing clinical documents on Docman

Reception

  • Receiving patients, consulting with members of practice team
  • Handing completed repeat prescriptions to patient and checking names and address.
  • Be able to cover all reception position as necessary

Appointments

  • Process appointment requests for today/future appointments from patients by telephone and in person.
  • Deal with visits/requests
  • Computer
  • Registrations of new patients computer data entry and medical records
  • Process patients changes of address computer data and medical records (have knowledge of practice area)
  • Process repeat prescription requests in accordance with practice guidelines
  • Use of the practice computerised clinical system (Emis Web)
  • Plus any other duties required for the smooth running of the practice

Telephone

  • Have working knowledge of telephone system, both during & after hours
  • Receive and make calls as required using a polite manner at all times.
  • Divert calls & take messages as appropriate
  • Ensure the system is operational at the beginning of each day

To be responsible for undertaking a wide range of reception duties and the provision of general support to the multidisciplinary team. Duties can include, but are not limited to, greeting and directing patients, effective use of the appointment system, booking appointments, the processing of information and assisting patients as required.

To act as the central point of contact for patients, the distribution of information, messages and enquiries for the clinical team, liaising with multi-disciplinary team members and external agencies such as secondary care and community service providers.

To be responsible for the leadership and supervision of a team of receptionists, ensuring all reception duties are performed effectively and to the required standard, meeting the objectives of the organisation. Support the management team in promoting ED&I, SHEF, quality and continuous improvement, confidentiality, collaborative working, service delivery, learning and development and carry out other duties as directed by the management team
