Job summary

Greenbank Drive Surgery is looking for a GP Receptionist to work 34 hours per week . We are looking for an individual to join our busy, friendly reception team .This post covers a wide range of reception/admin duties - answering the telephones, booking appointments, greeting patients, dealing with general queries . The successful applicant will need to have a warm and engaging personality, always putting people first and able to work under minimal supervision. The role requires the post holder to be able to communicate clearly with excellent communication skills.It is a busy role which requires a flexible approach; you will need to be able to work using your own initiative and as part of a team.

Experience of working in a GP Practice is preferable but not essential.

Main duties of the job

To answer the telephone promptly and deal with enquiries in a helpful and courteous manner. Effectively to be able to signpost patients to services appropriate to their needs. Booking, cancelling, and amending patients appointments by using EMIS Web clinical software, dealing with queries via telephone, email, and face to face interactions with clinicians, patients and third parties. Process requests for repeat prescriptions received and deal with queries relating to prescriptions. Dealing with requests for test results Register new patients living within our catchment area. Open post, scanning and processing of the clinical correspondence received into surgery. Open and close the practice at the beginning and end of a day by following the opening and closing procedures. Be flexible at short notice to cover shifts in the event of staff holidays and sickness. Ad hoc duties to assist in the smooth running of the surgery.

About us

Greenbank Drive Surgery is a busy, friendly GP surgery based near Sefton Park, Liverpool. With 2 GP Partners, Practice Manager, 2 Salaried GPs. We are a training practice and therefore also have 1 GP Registrar and 2 F2's. We also have medical students on rotation throughout the year. We have 2 Registered Nurses, 1 HCA and a multiskilled Reception/admin team.

The practice is open from 08.00 - 18.30 (Monday to Friday) We are a supportive team who encourage all members of staff to develop their skills and adapt to new models of working. The successful candidate will be entitled to join the NHS Pension scheme, 4 weeks annual leave plus bank holidays (pro rata). We also offer a comprehensive practice induction, and the opportunity for further training.

Job Summary: The purpose of the role is to:

Offer general assistance to the practice team and project a positive and friendly image to patients and other visitors, either in person or via the telephone

Receive, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way

Undertake a variety of administrative duties to assist in the smooth running of the practice

Facilitate effective communication between patients, members of the primary health care team, secondary care and other associated healthcare agencies

Job Responsibilities: Duties may be varied from time to time under the direction of the Practice Manager/Reception Supervisor, dependent on current and evolving practice workload and staffing levels:

  • Adhere to staff rota and responsibilities
  • Maintaining and monitoring the practice appointments system
  • Processing personal and telephone requests for appointments, visits and telephone consultations and ensuring callers are directed to the appropriate healthcare professional
  • Processing and distributing incoming (and outgoing) mail
  • Taking messages and passing on information
  • Sign-Posting to other services
  • Filing and retrieving paperwork
  • Processing repeat prescriptions in accordance with practice guidelines
  • Computer data entry/data allocation and collation; processing and recording information in accordance with practice procedures
  • Initiating contact with and responding to requests from patients, other team members and associated healthcare agencies and providers
  • Clearing and re-stock consulting rooms as required
  • Providing clerical assistance to practice as required from time to time, including word/data processing, filing, photocopying and scanning
  • Provision of refreshments for staff and visitors as required; keeping the kitchen area clean and tidy
  • Responsible for organising locum cover for GPs when required
  • Ordering, re-ordering and monitoring of stationery and other supplies
  • Keeping the reception area, notice-boards and leaflet dispensers tidy and free from obstructions and clutter
Other Tasks
  • Opening up/locking-up of practice premises and maintaining security in accordance with practice protocols (have thorough knowledge of doors/windows/alarm)
  • Tidy rooms after surgeries ensuring clean couch role for the following sessions
  • Ensure waiting rooms/leaflets are also kept tidy and Notice boards up-to date (nothing duplicated)
  • Any other tasks allocated by managers
