Job summary

MAIN PURPOSE OF JOB:

  • To provide a point of contact for patients and act as a focal point for communication between, patients, Doctors and other medical staff.
  • To provide high quality reception services to the patients, Doctors and staff at the surgery in a caring and supportive manner.
  • To maintain confidentiality of all information.
  • To provide flexibility in practice staff arrangements.

Main duties of the job

  • Answering general enquiries, explaining surgery procedures, making new and follow-up appointments, and receiving requests for repeat prescriptions.
  • Care navigates and sign post patients to the service they will need.
  • Utilise the Systmone clinical system to ensure efficiency of appointment system and monitor flow of patients to clinics.
  • Receiving and updating requests for home visits.
  • Receive and convey messages verbally and electronically.
  • Sort and Process Incoming mail following the document management protocol.
  • Process patients online requests.
  • Assist patients in completing surgery forms and understanding of instructions.
  • Undertake personal responsibility in respect of security, fire and health & safety.
  • Opening/Closing of surgery, reception and all other rooms as required.

RESPONSIBLE TO: Practice Manager/Operations Manager

MAIN PURPOSE OF JOB:

  • To provide a point of contact for patients and act as a focal point for communication between, patients, Doctors and other medical staff.
  • To provide high quality reception services to the patients, Doctors and staff at the surgery in a caring and supportive manner.
  • To maintain confidentiality of all information.
  • To provide flexibility in practice staff arrangements.

SPECIFIC OBJECTIVES/AIMS:

  • The post holder will be able to work alone and as part of a team, following practice protocols.
  • Work under pressure, be courteous and patient and enjoy working with colleagues and patients.
  • Work with minimum supervision on all aspects of the practice reception function.
MAIN DUTIES AND RESPONSIBILITIES OF THE POST
  • Answering general enquiries, explaining surgery procedures, making new and follow-up appointments, and receiving requests for repeat prescriptions.

Act as patient chaperone as required.

Email documents as required.

Advise patients/public of fees required for non-NHS work.

Extract medical records for action by clinicians.

Ensure notice boards and posters are kept up to date.

Action Trent Blood requests brought in by internal courier.

Maintain records of vaccine/drugs being used and liaise with colleagues regarding replenishment.

Prepare prescriptions for Family Planning Clinics.

Cover for colleagues absent on leave and/or practice business.

Check GP/Nurse rooms, replenishing stock and general tidy.

  • The post holder will be expected to maintain strict confidentiality at all times and be aware of Caldicott principles.
  • The post holder will be expected to familiarise themselves with the health and safety poster of the practice and maintain the responsibilities outlined.
  • The post holder will be expected to remain abreast of current evidence based practice and make use of the learning opportunities offered.
