Job summary

We are currently looking for friendly and enthusiastic Receptionist/Administrator with excellent customer service skills to join our forward thinking and welcoming team. You will be required to deliver an efficient, effective, and comprehensive service. We are based in Loftus and work collaboratively with sites based in Eston and Redcar, ensuring high standards are always maintained.

Main duties of the job

General duties will include greeting patients, answering, and making telephone calls, along with other administrative work. This is a challenging role in a fast- paced environment where a good telephone manner and professional approach are required.

The successful candidate will provide a high quality, professional reception and administrative service to patients, colleagues, health service professionals and others. They will act as the first point of contact for patients contacting the Practice. The successful candidate should preferably have experience with SystmOne, but this is not essential as training will be provided. Basic IT skills and experience of Microsoft would be desirable, also good organisational and time management skills and ability to use own initiative.

Job responsibilities

Primary Responsibilities

The following are the core responsibilities of the receptionist/administrator. There may be on occasion, a requirement to carry out other tasks; this will be dependent upon factors such as workload and staffing levels:

a. Maintaining and monitoring the practice appointment system

b. Process personal, telephone and e-mail requests for appointments

c. Answer incoming phone calls, transferring calls or dealing with the callers request appropriately

d. Signpost patients to the correct service

e. Process incoming and outgoing mail

f. Initiating contact with and responding to, requests from patients, team members and external agencies

g. Process recall letters as requested

h. Process all DNA letters in accordance with current policy

i. Read code data on SystmOne

j. Photocopy documentation as required

k. File and store records as required

l. Data entry of new and temporary registrations and relevant patient information as required

m. Input data into the patients' healthcare records as necessary

n. Scanning of patient related documentation and attaching scanned documents to patients' healthcare records

o. Manage all queries (including administrative queries) as necessary in an efficient manner

p. Carry out system searches as requested

q. Maintain a clean, tidy, effective working area at all times

r. Monitor and maintain the reception area and notice boards

s. Support all clinical staff with general tasks as requested
