Job summary

An exciting opportunity has arisen for an ambitious individual who ideally has primary care experience (GP Practice) to join Forest Health Care.

Due to rapid, continued growth, an exciting opportunity has arisen for an experienced, Medical Secretary to join our GP practice in Forest Health Care. Our surgeries continually strives to improve work processes that deliver health care with improved results for all our patients.

Applicants should be articulate, have excellent communication and interpersonal skills with the ability to prioritise a heavy workload. You should also have, organisational skills and could work without direct supervision. NHS secretarial experience is desirable.

Opportunities for personal development will be available to further enhance skills aligned with the needs of the practice.

Main duties of the job

The ideal candidate will showcase their dedication to providing superior patient care by exhibiting compassion, commitment, and a positive attitude. They should possess excellent administration capabilities. Having previous experience in overseeing large and diverse teams is crucial. The candidate will be responsible for managing all aspects of the admin team and actively contributing to strategic planning alongside the partners.

About us

Our 3 partner practice has a patient population of over 11000+ patients and a staff of 3 further salaried GPs, 3 ANPs and a full complement of nurses, HCAs, dispensers, receptionists and admin staff all working alongside a growing number of additional PCN roles.

Based in the Forest of Dean, our Cinderford surgery serves the surrounding town and rural communities. In spacious, environmentally friendly new premises, we occupy the first purpose-built, dementia-friendly surgery in the UK. Patients can also access a full range of services at our branch site in the local village of Ruardean & Westbury-on-Severn

Job description

Job responsibilities

To provide secretarial and administrative support to the practice ensuring quality of data and information is maintained and audit and clinical governance information is provided as required by the practice, the Primary Care Trust and the Health Authority.

Close Working Relationships:

Work effectively as part of a Practice team to provide an efficient link between patients and clinicians.

Liase with Doctors, Practice Nurses, District Nurses, Health Visitors and all other members of staff related to the Practice together with other agencies, both within the NHS and outside, associated with the running of the Practice and provision of data to the same.

Developing, encouraging and maintaining kind, considerate and supportive relationships with all practice colleagues.

To be confidential in all matters and at all times, as laid down in your Contract of Employment

To maintain accurate manual and computerised records and make full use of the computer system.

To communicate effectively with patients and the practice team at all times.

To be helpful and courteous at all times and work in a manner consistent with the Practice and Patient Charters and observe all Practice Protocols, Guidelines and Standard Practice Instructions.

To provide relief cover, and/or additional hours, with prior agreement, in times of sickness or absence in order to continue to provide optimum staffing levels throughout the practice.

To maintain a good standard of housekeeping within areas of work.

To adhere to all fire, safety and emergency procedures.

To use ones own judgement, resourcefulness, common sense and local knowledge, to respond to patients inquiries and requests, to prioritise personal work load and work without direct supervision.

Be flexible in the approach to work and have a willingness to learn and undertake new challenges and responsibilities.

To undertake all relevant training including updates at required intervals.

To undertake all other reasonable tasks as required from time to time.

Prepare medical reports and allocate to GPs for the completion whilst up-dating the required audit trail.

Finalising medical reports once the GP has completed their role, and forward to the requesting agency.

Create and submit invoices for administration works done.

Scanning, work flowing and read-coding clinical documents to keep patient records up to date with information sent to the practice.

Liaising with other agencies to send/obtain information relating to patient care.

Highlight further actions required for continued patient care, for the GPs or other departments to undertake such as booking appointments, referrals etc.

Monitor and action the ERS website for outstanding/further tasks regarding referrals.
