Job summary

Castle Mead Medical Centre are seeking to employ a GP Full Time Medical Secretary / Administrator, with the ideal candidate being someone who is proactive, enthusiastic, and happy to work as part of an outstanding, long-established team.

As our Medical Secretary / Administrator you will work within the Practice to support and coordinate patients care across different services, undertaking a variety of administrative duties that are associated with the role. Delivering a high quality, patient-centred service that brings together personalised care and improves patient outcomes.

You will:

  • Provide effective communication support between patients, Practice clinical staff, Clerical Staff and other associated healthcare agencies.
  • Support GP team managing the patient care pathway.
  • Receive, assist and direct patients in accessing appropriate services in a courteous, efficient and effective way Project and positive and friendly image, either in person or via the telephone.
  • To provide an efficient Medical Secretarial service for GPs and health professionals as required. This includes the typing of letters, reports, patient referrals, minutes, memorandums, etc. in an accurate and quality manner.

Main duties of the job

The role will also include:

  • Assisting the practice manager with all clerical and administrative duties.
  • To make appointments, bookings and admissions as required.
  • Liaise and arrange meetings (to include the booking of rooms) as required and to attend meetings and take minutes.
  • Establish and maintain filing and administrative systems so that written or computer information is easily accessible and secure
  • Retrieve medical records and assist the completion of medical/insurance records.
  • Retrieve medical records and assist the completion of SARs requests.
  • Authorisation of patient requests for Access to Medical Records
  • Receive, assist and direct incoming paperwork and workflow around the practice.
  • File patient records and correspondence in patient medical records.
  • To receive and dispatch mail and maintain a pending system.
  • To receive incoming and initiate outgoing telephone calls in order to facilitate timely and appropriate communications with others, taking messages and dealing with appropriate queries.
  • To provide cover for members of the secretarial team during periods of sickness and annual leave.
  • In liaison maintain adequate supplies of office stationery in order to perform your secretarial duties

We are also part of the Hinckley Central PCN and Hinckley and Bosworth Federation.

Practice Profile:

  • 10,700 patient list size over two sites

  • The clinical team includes 4 partners, 4 Salaried GPs, 1x ANP, 1 UCP, 1x Paramedic, 2 Nurses, 1 Nurse Associate, 2 HCAs, 3x Social Prescribers, 1x Health and Wellbeing Coach and 1x Physiotherapist.
  • We also have the support of an excellent PCN Pharmacist Team.

  • A good level of Written English is required to ensure patient letters are written to an excellent standard - preferably A to C

Desirable

  • A medical secretary or business administration qualification would be a desirable qualification

Experience

  • Working within the Administrational Department of a NHS provider is essential for this role

Desirable

  • Candidates who are already working in and have experience of working in the Medical Secretary or Administrational department of a GP surgery would have a fantastic advantage when shortlisting for this role.
