Job summary

East Cliff Practice is a busy GP surgery and training practice in Ramsgate serving around 16000 patients. We are a friendly team whose priority is to provide a caring service for our patients. We are dedicated to team working, communication, development and training.

We are looking for an experienced, conscientious and reliable medical secretary to join our friendly and professional team.

  • To provide high level administrative and medical secretarial support to the practice, doctors and health professionals involving word processing and audio typing.
  • To support the practice with patient’s clinical queries relating to referrals.

Main duties of the job

  • To provide an efficient audio, copy typing and word processing service for GPs and health professionals as required. This includes the typing of letters, reports, patient referrals, minutes, memorandums, etc. in an accurate and timely manner.
  • Use of the E-referral system (ERS) and all other digital applications to assist in the referral of patients to hospital, including sending out relevant documentation to the patient.
  • Resolving problems which relate to ERS. This includes changes to place of referral and dealing with rejected referrals.
  • To monitor and complete daily tasks, rapid access referrals, Docman queries and email enquiries
  • To make appointments, bookings and admissions as required
  • To establish and maintain filing and administrative systems so that written, or computer information is easily accessible and secure.
  • To retrieve medical records and assist with the completion of medical/insurance records.
  • To receive incoming and initiate outgoing telephone calls in order to facilitate timely and appropriate communications with others, taking messages and dealing with appropriate queries
  • Observe strict rules about patient confidentiality at all times
