Job summary

We are looking for a Clinical Coder to join our friendly team. The role will be part-time, around 18 hours per week, and can involve remote working from home.We are looking to expand our team due to increasing workload and ideally seek someone with previous experience in GP admin, specifically clinical coding. The role will be fairly autonomous, as you will be required to manage your own time to ensure work is completed efficiently and to a high standard. A 'can do' and conscientious attitude is a must, as is an understanding of the importance of accuracy when it comes to inputting clinical information into notes, both for safety and quality purposes.

Main duties of the job

The role includes:

· Utilising the Docman and EMIS Web clinical software systems

· Ensuring that all incoming patient correspondence is correctly coded to ensure the integrity of patient records and any necessary actions followed up

· Accurately summarising new patient records

We are aiming towards rolling out 'workflow optimisation' and the ideal candidate would enable us to move towards this. If successful, this would entail the post-holder being the initial person who receives all incoming correspondence: they would read it, decide if a GP needs to review it, undertake any necessary actions required, code and file the document. 

Therefore this role could develop in time, and we would be particularly interested in interviewing candidates who may have experience in workflow optimisation, particularly when it has been new to their previous Practice.

New Dover Road Surgery is a busy, city-centre Practice serving around 10,800 patients from Canterbury and its environs. We have a very varied patient population, from care home residents, to students; young families to elderly housebound patients; patients with social care needs and chronic illnesses.

Our GPs favour as much as possible a traditional family doctor feel, and we know our patients well. Despite how busy we are, especially in the current climate, we try to provide good continuity of care, and a friendly environment. Job Overview:

The Clinical Coder is primarily responsible for ensuring that all external and internal patient correspondence is accurately coded in the patients’ medical record. A sound professional working relationship will be required with the GPs and staff working within the Practice.

The role includes:

  • Familiarity with Docman and EMIS Web clinical software systems
  • Ensuring that all incoming patient correspondence is correctly coded to ensure the integrity of patient records and any necessary actions followed up
  • Accurately summarising new patient records

Job summary:

The main responsibilities of the post-holder will be to receive and read clinical correspondence that has been added to Docman, and code into the EMIS notes any relevant clinical information, including test results, diagnoses and procedures. Correspondence may have already been looked at by a GP, in which case this will be adding codes for information, or it may not need GP review, in which case the letter will need to be checked, any relevant information coded, and then the correspondence filed.

Job responsibilities:

  • Scanning practice documentation and correspondence into clinical systems (EMIS & Docman) alongside the wider admin team.
  • Working from an inbox, analyse and extract clinical information from incoming correspondence, and translate clinical terminology into a coded format onto patient records

  • Identifying any documents that need to be seen by a Doctor or other member of the Practice team and forwarding these where necessary
  • To correct errors in filing and ensure corresponding records are amended accurately
  • Assisting other staff in the management of actions arising following review by a Doctor e.g. sending out letters asking patients to come in.
  • To summarise new incoming patient records, to produce a comprehensive summary of the patients medical history. Enter any known allergies and smear history of patients newly registered to the Practice.
  • Ensure all clinical coding is maximising Practice QOF potential.
  • Be involved in developing and reviewing the workflow management protocol to ensure the process is safe and efficient.
  • Follow practice protocols to ensure consistent and high quality care is provided to our patients including data accuracy
  • Deal with queries relating to coding
  • Helping to solve day-to-day issues with IT, systems, workloads, etc as they arise
  • To be flexible to support wider work of admin team as necessary
  • To assist in the training of new staff as necessary.
  • Keep up-to-date with necessary mandatory training.
