Job summary

Cheylesmore Surgery are looking for a highly motivated, IT literate, forward thinking and quality aware individual to join our expanding team.

We would like someone who can offer effective communication and assistance to our patients and entire practice team.

Main duties of the job

Job summary -

Offer general assistance to the Practice Team and patients.

You will project a positive and friendly image to patients and other visitors, either in person or via the telephone

Receive, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way

Undertake a variety of administrative duties to assist in the smooth running of the Practice

Facilitate effective communication between patients, managerial team and the clinical team

Duties and responsibilities

The duties and responsibilities may include any or all of the items in the following list. Duties may be varied from time to time under the direction of the Patient Services & Reception Manager, Practice Co-ordinating Lead & Practice Manager, dependant on current and evolving practice workload and staffing levels.

The postholder will also apply practice policies, standards and guidance and also participate in audits where appropriate.

About us

We are a large, suburban practice in Cheylesmore, Coventry near to the City Centre.

We have 13,500 registered patients, we are also a training practice for GP's and Nurses.

We have 5 GPs, 2 Clinical Pharmacists, 1 Physician Associate, 1 Paramedic Practitioner, 1 Advanced Nurse Practitioner, 2 HCA's and a Practice Nurse.

Job responsibilities

MAIN DUTIES

Provide cover for the front reception desk, greeting patients and visitors to the Practice and assisting them with their queries.

Ensuring all queries are dealt with confidentiality, respectfully and holistically.

Answer incoming telephone calls from patients with a professional and pleasant manner

Using practice provided tools and protocols to signpost patients to the most appropriate service or healthcare professional.

Book appointments accurately and with the appropriate clinician using the EMIS system.

Process online requests submitted by patients in line with practice protocols, ensuring patients are updated on the next steps.

Manage patients who may be verbally or physically aggressive in a professional manner, using the appropriate alert systems and following Practice policy and training.

Accept deliveries for the Practice Team being mindful of delivery instructions such as refrigeration requirements and acting upon them to ensure they are prioritised.

Deal with specimens safely and in line with infection control policy, ensuring they are safely stored and ready for processing.

Deal with situations involving distressed/unwell patients in line with practice policies and training.

Allocate test results to appropriate clinicians using the EMIS system and following practice protocols.

Processing DOCMAN in line with GDPR requirements and confidentiality protocols.

Support the clinical team in a courteous, efficient, and effective way.

Participate in and contribute to practice teamwork towards achieving a cohesive approach in line with team objectives and targets.
