Job summary

Operations Manager with a view to Business Manager

We are seeking a friendly, capable and conscientious person to join our administration team. Flexibility is required to cover sickness and other absences.

The ideal candidate will have excellent communication and IT skills with a preferred working knowledge of EMIS Web. A full understanding of IIF and QOF targets. Training on computer systems and internal processes will be provided, as appropriate.

This post can be offered up to full time and is with a view to taking over from our Business Manager who intends to step down.

The post also attracts 5 weeks' annual leave (pro rata) and an NHS Pension.

Main duties of the job

Job Purpose

Initially, to provide administrative support to the Business Manager and liaise on the day to day running of the practice with both clinical and non-clinical staff as part of the administration team.

Job description

Job responsibilities

Act as the first point of contact for enquiries from other team members and patients as appropriate.

Act as complaint manager in the absence of the Business Manager

Assist in planning and implementing annual and ad hoc training requirements.

Assist with/oversee GMS contract/QOF, IIF and PCN performance against targets, delegating as required, adapting as these evolve.

Plan and carry out an active programme of clinical audit, delegating as required.

Ensure practice compliance with Information Governance requirements including staff training and completion of the DSP toolkit.

Provide assistance in ensuring the practice complies with CQC requirements.

Communication/Relationships

Provide and receive information as required, taking minutes of meetings when required.

Make presentations when required to other team members.

Handle business sensitive / confidential information

Knowledge, Training & Experience

Advanced knowledge of administrative procedures including IT systems, hardware and software management, project monitoring, training for self development and for the needs of end users.

Analytical & Judgment skills

Interpret outcomes of audit and exercise judgement is guiding the Primary Healthcare Team through projects as appropriate.

Planning & Organising

Assist Business Manager / Clinical/ Admin staff in the development of overall business plans and workstreams in relation to day to day operations and to specific projects.

Responsibility for Policy Development

Liaise with Business Manager to develop/maintain policies and protocols for own and end users work, particularly clinical protocols with associated audit.

Human Resources

Provide training as identified via induction and appraisal for team members.

Financial and Physical Resources

Oversee supply stocks for clinical / administrative teams, including drug stock levels and ordering.

Assist with day to day budget management duties, initially with Business Manager, including administering payroll, NHS Pension scheme, accounts packages and monthly PPA claims when required

Information resources

Use and develop a wide range of IT applications as required.

Responsible for data entry, storage and back up of secure data, regular requirement to develop / create reports / searches / documents / protocols etc.

Research & Development

Undertake audit projects relating to clinical activities which may/may not impact on GMS/QOF/PCN targets.

Freedom to Act

Works autonomously within own area and may develop procedures / protocols for identified projects with GPs / Clinicians / Administration staff.

An ability to self motivate, organise and prioritise own workload.

An understanding, acceptance and adherence to the need for strict confidentiality and to be able to convey the need for this to other staff.
