Job summary

We are looking to recruit an enthusiastic individual to join our established team. You will be working with some hours allocated within the reception team and the other hours allocated to an administrator role.

You are the first voice patients hear and the first face they see when they visit the surgery.

We pride ourselves on our consistent professional, compassionate and caring attitude towards all patients and visitors to the practice.

Main duties of the job

Undoubtedly a busy and vital role in any practice you will join the hub of the existing practice reception/admin team.

The skills required in this role have changed significantly over the years and will continue to do so.

Your role is to receive, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, friendly, efficient and effective way.

You are providing general assistance to the whole practice team and project a positive, caring and friendly image to patients and other visitors, either in person or via the telephone.

About us

We are a friendly family practice and have been looking after our local population for over 90 years.

Our clinical team at Newburn Surgery includes 4 GP partners, 2 salaried GP's, 2 Practice Nurses and an experience HCA.

The practice is managed by a practice manager and a deputy, along with a patient services manager and reception and administration lead.

An experienced team of medical secretaries and receptionist / administers support patient care compassionately and professionally.

We are a medical teaching practice who supports medical students and doctors in training.

We support student nurses in training.

We are a member of the Newcastle Outer West Primary Care Network.

We use SystmOne as our clinical system.

Job description

Job responsibilities

Providing a friendly, welcoming and professional service to all patients and visitors to the practice.

Answer incoming phone calls, transfer calls or deal with the caller's request.

Signpost patients to the correct service.

Resolving patient queries for example prescription queries.

Accepting and checking new patient registration forms.

Maintain patient records on SystmOne

Scanning onto electronic patient records.

Deal with document workflow on SystmOne.

Deal with practice incoming and outgoing post.

Monitoring emails sent into the practice and actioning appropriately.

Actioning all patient tasks in a timely manner according to urgency and due date.

Promote internal communication and up-to-date knowledge.

Provide cover during admin/reception staff absences.

Maintain a clean, tidy, effective working area at all times.

Opening and closing the practice in line with procedures as per the duty rota.

Administration Duties

This is a varied role and this is not an exhaustive list.

Supporting the practice nurse team with their long term condition clinics such as Diabetes, COPD and Asthma by calling and recalling patients into the clinics.

Supporting the practice nurse team with patient's annual reviews

Processing FP34 prescriptions.

Managing the workflow for cervical screening.

Summarising new patients records.

Processing patients mediboxes.

Assist with any other admin duties as required.
