The successful candidates will have a comprehensive induction into the world of general practice. Previous reception experience is desirable but not essential, a strong understanding of customer services or customer care is important to us as is a strong IT ability
Independent travel to our Horley surgery is essential as you may be working across both sites
Main duties of the job
Ability to operate medical computer system, SystmOne experience preferable. Accurately entering patient details onto the computer system. Receiving of patient telephone requests, booking of appointment, ensuring sufficient information is recorded correctly. Dealing with queries, and signposting to other Healthcare services where appropriate, within a very busy practice.
Patient facing reception duties, welcoming, arriving patients to the surgery and dealing with enquiries. Dealing with referrals to community teams, blood test requests, scanning, prescription queries, daily tasks and various other admin reception duties.
Communicating and assisting with various medical professionals on a daily basis.
An understanding , acceptance and adherence to the need for strict confidentiality

We are a 7 Partner Doctors practice with approximately 17,000 patients across both surgeries in Horley & Crawley.
Our friendly welcoming reception team consists of 15 members who work various shifts between 7am & 8pm

Responsibilities of Patient Services Team
- Ability to operate medical computer system
- Accurately enter all relevant information / data to the computer System
- Explain practice arrangements and formal requirements to new patients, ensuring all practice procedures are complete
- Respond to all queries and requests from patient in a polite manner
- Receive request for repeat prescriptions and medical certificates, fulfilling these requests within the standards set and updating medical records, bringing any problems to the attention of a Doctor
- Ability to enter and recover information from our computer system.
- Perform various administration duties that are required to ensure good communications internally and externally to third parties and patients
- Ensure reception administration and waiting areas are kept neat and tidy
- Ability to use email and be computer literate.
Management of Appointment System
- Ensure total familiarity with all appointment systems in effect including regular and incidental variations
- Booking of appointments ensuring sufficient information is recorded
- Enter requests for home visits onto computer using the correct practice procedure
- Monitors proficiency of the appointment system and reports any problems
- Ensure all appointments are booked with the correct clinicians and for the correct lengths of time
- Care navigate, sign post to other health professional where possible.
- Receive and make telephone calls, answering the telephone promptly and making it your responsibility to deal or divert as appropriate.
Start and endof day procedures - To open up premises at the start of the day, making necessary preparation to receive patients
- Secure the premises at the end of the day, ensuring the building is totally secure.
- Ability to operate Alarm System
Miscellaneous- All staff are required to be available to work overtime to necessary during times of staff sickness, and annual leave. Sometimes only short notice is possible
- Staff are required to work at either sites at short notice
Special requirements of the post- Any members of staff must not also be a " patient . Appointed team members are required to re-register with another General Practice
- An understanding acceptance and adherence to the need for strict confidentiality
- Ability to use own judgement, resourcefulness, common sense and local knowledge.
- Possess good communication and customer service skills
- Develop a good working relationships with patients and work colleagues
- Abide by all Practice and Government procedures/ protocols & policies
- When required act as chaperone for any member of the Primary health care team
- Ability to cope with change
Health & Safety- To take appropriate safety precautions during working hours
- Follow the practice fire procedures
- To participate in the training of new staff
- Attend staff/ Practice meetings when necessary
