Job summary
Furlong Medical Centre is looking to add a new team member to the Workflow department on a 12 month fixed term basis. They will be responsible for scanning, coding and summarising the incoming clinical and non-clinical information and that it is correctly linked to or embedded in the patient records. Ensuring patient records are updated accurately and in a timely fashion.
Main duties of the job
Accurately coding data on EMIS Web into the patients record
To file electronic correspondence to patients health records using Docman10
To manage the information received by the Practice to enable provision of excellent patient care and ensure the patient records are kept up to date and accurate as per GDPR guidelines.
To improve the quality of the data held.
To facilitate sharing of patient records and data with other providers of health and social care.
To categorise, route and allocate incoming mail
To be responsible for scanning of patient related documentation and attaching scanned documents to patients healthcare records
To identify relevant clinical information documented in patient correspondence, coding appropriately and completing any detailed actions
Action all incoming emails in a timely manner
To monitor your workload and report to your line manager.
To contribute to the continuing improvement of Practice information and the information management systems and processes.
To work as part of the Practice team and become involved in staff training of IT skills as necessary.
Maintain a clean, tidy, effective working area at all times
All these processes relate to delivering a high quality of patient care and the smooth and efficient running of the practice.

Furlong Medical Centre is made up of 3 Clinical Partners and 1 Non-clinical Partner. They are supported by a large surgery team made up of ANP's, Practice Nurses and HCA's. Additional support is given by PCN staff, along with skilled Administrators and Receptionists.
Furlong Medical Centre also provides training for GP registrars, foundation year doctors, medical students and nursing students. We are proud to be one of the largest training GP practices in Stoke-on-Trent.

- GCSE Grade A to C in English and Maths
- Disclosure and Barring Service Check
- This post is subject to the Rehabilitation of Offenders Act (Exceptions Order) 1975 and as such it will be necessary for a submission for Disclosure to be made to the Disclosure and Barring Service (formerly known as CRB) to check for any previous criminal convictions
Desirable
- Qualified to NVQ AMSPAR level 2/3
Experience
Essential
- Experience of working as part of a team
- Trustworthy and discreet - you will see a great deal of highly sensitive information and the maintenance of absolute patient confidentiality is essential.
- IT literate - you will be comfortable operating with standard MS Office software and willing learn and become skilled in the use of specialist medical, scanning, document management and coding software (training provided).
- Diligent - a high level of accuracy is required as the data inputting relates to vital clinical and other confidential information used in patient care. Errors could result in harm to patients.
- Literate - A high standard of written English will be demonstrated and you will learn medical terminology and develop a working knowledge of some of the concepts behind the words.
- Self-management - you will have a Workflow Lead, you will be required to monitor your workload efficiently and alert your line manager if any backlogs develop. You will work in a timely manner and prioritise appropriately.

- Previous experience working in a NHS setting.
- Previous experience using EMIS Web and Docman10
