Job summary

The post holder will be the practice IT and IG lead, supporting the practice in fulfilling its contractual and NHS obligations regarding information governance and CQC requirements.

They will help ensure the day to day smooth running of the practices computer systems and provide prompt support to the practice team. They will also assist in data extraction and management, including but not exclusively relating to QoF, Eclipse, Ardens templates, and ensure regular housekeeping of the clinical systems and shared files.

Main duties of the job

To develop an in-depth understanding of our contractual obligations relating to appoint provision and mapping and ensure these are fulfilled.

To submit reports and/or information regarding appointment provision by interrogating EMIS to external bodies such as (but not limited to) the GP Federation. Effective maintenance of all practice IT infrastructure, including hardware, office.

Oversee the management and upkeep of clinical and informationsystems (removing leavers from the system; deactivating old templates; updating practice intranet etc) and update spreadsheet (eg: Practice users audit)

Liaise with outside agencies to facilitate access to NHSmail and IT systems

To support and promote collaborative working with Battersea PCN and Battersea Federation

Assist clinicians and managers in searches relating to patient care and administration, using systems such as QoF, Eclipse etc

Report any IT faults to SWLICB and liaise with them until the issue is resolved.

Completion of IG toolkit and other governance reporting in accordance with ICB/NHSE requirements

Maintain and liaise with practice website company

Upkeep of staff photo board

To work at all times in accordance with the practice policies, (including equality and diversity, confidentiality, health and safety, Data Security and all other practice policies)

Job responsibilities

IT lead

To develop an in-depth understanding of our contractual obligations relating to appoint provision and mapping and ensure these are fulfilled.

To submit reports and/or information regarding appointment provision by interrogating EMIS to external bodies such as (but not limited to) the GP Federation.

Effective maintenance of all practice IT infrastructure, including hardware, office systems, email, telephone, internet and clinical systems, minimising downtime in the main practice and branch sites

Follow on-boarding and leavers processes to ensure systems remain up to date and tidy

  • Set up and maintain new users according to practice protocol, ensuring they have access to required applications
  • Provide training and support for new and existing users, and provide training and mentoring in order to train others up as IT support.
  • Oversee the management and upkeep of clinical and information systems (removing leavers from the system; deactivating old templates; updating practice intranet etc) and update spreadsheet (eg: Practice users audit)

To help develop and implement local IG policies and promote good information governance.

Perform regular IT/IG related risk assessments and data mapping of records, in accordance with practice policies

Perform data protection impact assessments as required

Maintenance of the information asset register

  • Completion of IG toolkit and other governance reporting in accordance with ICB/NHSE requirements

Assisting the practice in improving digital access for patients via internet and apps

  • To promote use of new technologies amongst patients and staff in accordance with the NHS long term plan (including video/email consultations)
  • To maximize the opportunities available to the practice in digital technology and innovation
  • Assist the practice manager in the ongoing development and implementation of the practices IT strategy

Assist the practice manager in optimizing income (claims):

  • Design and run searches and reports as defined by the partners and/or the practice manager
  • Identify areas for development and enhancement of the clinical and other systems to ensure both ease of use and optimum data quality
  • To support the practice in ensuring it works within legal requirements for data protection (including but not limited to Data Protection and GDPR regulations, data sharing agreements and confidentiality agreements)
  • To maintain cohesion of IT services within the PCN
  • Regular running and review of Ardens searches; implement necessary actions in order to maximize practice targets
  • Assisting with recall systems for chronic disease management
  • Liaise with care-coordinators, lead pharmacist and partners in creating and over-seeing efficient systems of recall
