We are looking for an individual with medical experienced who is enthusiastic, proactive
and motivated individual to join our well established high achieving dedicated,
friendly and supportive team.
The successful candidate will be responsible for delivering
a high level of quality reception and administration service to our patients and visitors
Experience of SystmOne is highly desirable but not essential as training will be given and experience in a busy office environment.
Applicant to have excellent IT skills, strong communication skills
with the ability to pay attention to detail and flexible approach to working,
and have the ability to adapt to changes within the NHS.

Main duties of the job
Answer the telephone in a
courteous and professional manner
Receive and accurately convey
messages in writing, verbally and electronically
Liaise with patients and their
families in a compassionate manner
Liaise with GP's, other health
professionals and their staff
Arrange / Cancel appointments for
patients
Explain practice arrangements to
new patients and those seeking temporary cover
Generate repeat prescriptions
within the practice guidelines
Update the clinical system with
changes
Contact patients to convey test
results as directed by the GPs
Contact patients to arrange
appointments with appropriate clinicians
Deal with travel enquiries and
vaccination appointments
Accept payment and issue
receipts.
Prepare medical records for
deducted patients to return
Log new patients records and
file appropriately.
Accept and sign for deliveries.
Understand the usage of the
practice email.
Using Systmone / Ask My GP / ICE and other Practice software
Undertaking
other administrative activities when required such as scanning and coding

supported by receptionists and

Responsible to: Business/ Practice Manager
Job responsibilities:
- Ensure an effective and efficient reception
service is provided to patients and any other visitors to the practice
- Deal with all general enquiries, explain
procedures and make new and follow-up appointments.
- Using your own judgment and communication
skills, ensure that patients with no prior appointment but who need urgent
consultation are seen in a logical and non-disruptive manner.
- Explain practice arrangements and formal
requirements to new patients and those seeking temporary cover, and ensure
procedures are completed.
- Receive and make telephone calls as
required. Divert calls and take
messages, ensuring accuracy of detail and prompt appropriate delivery.
- Enter requests for home visits into the visit
book, ensuring to carefully record all relevant details and referring to
duty doctor where necessary.
- Action repeat prescription requests and
ensure that they are ready for collection by the patient within 48 hours,
either on the computer or manually.
- Prepare lists and notes for all surgeries and
clinics held, ensuring completion of all associated paperwork.
- Advise patients of relevant charges for
private (non General Medical Services) services, accept payment and issue
receipts for same.
- Enter patient information on to the computer
as required.
- Make and serve refreshments, ensure the
kitchen is kept clean and tidy and air and tidy the waiting room in turn
with other staff.
- Premises:
o
Open up premises at the start of the day when
first to arrive, de-activate alarm and make all necessary preparations to
receive patients.
o
When last to leave at the end of the day, ensure
that the building is totally secured, internal lights are off and the alarm
activated.
- Ensure that all new patients are registered
onto the computer system promptly and accurately
- Undertake any other additional duties
appropriate to the post as requested by the partners or the practice manager.

entrust us with, or allow us to gather, sensitive information in relation
to their health and other matters.
They do so in confidence and have the right to expect that staff
