Job summary

Buckfastleigh Medical Centre seeks an enthusiastic, motivated individual to join our Reception Team. We are a small surgery looking after just under 5000 patients.

The successful candidate would need excellent customer service skills, be adaptable to a range of tasks & ideally have a knowledge of the NHS, being able to listen and respond sympathetically and appropriately to patient queries is a key part of the role

The role is 23 hours per week, spread over 5 working days. This could be split over 4 days for the right candidate

Flexibility would be advantageous to cover other shifts where required. The shift pattern is found below.In this role you would be responsible for ensuring the highest level of patient care at all levels and being the first point of contact for patients using our services.

Working pattern:Monday: 1pm - 5pm

Tuesday: 12pm - 5pm

Wednesday: 1pm - 5pm

Thursday: 12pm - 5pmFriday: 12pm - 5pm

As above this could change to over 4 days for the correct candidate.

Main duties of the job

You will be required to multi-task and be adapt to a wide range of tasks and queries.

Full training will be supplied. Duties to include (but not limited to): Booking patient appointments, dealing with queries, arranging tests, liaising with other health providers, taking messages and passing on information and processing and recording information in line with all regulation.

Buckfastleigh Medical Centreconsists of 3 GP partners, 1 Nurse partner, 3 practice nurses, and assistant practitioner, 6 receptionists and a team of3administrators, an operations manager, finance manager and business manager

We are part of the South Dartmoor and Totnes Primary Care Network alongside other local GP practices, through which our team includes a pharmacist, pharmacy tech, first contact physiotherapist and social prescribers.

We are a busy practice, continuing to embrace innovative ways of working to support our practice population.

This role attracts 5 weeks pro-rata holiday each year plus bank holidays (pro-rata for a part year).

Job description

Job responsibilities

The duties and responsibilities to be undertaken by members of the Practice reception/administration team may include any or all of the items in the following list. Duties may be varied from time to time under the direction of the Operations Manager/Buisness Manager, dependent on current and evolving Practice workload and staffing levels:

  • Opening up/locking-up of Practice premises and maintaining security in accordance with Practice protocols
  • Processing personal and telephone requests for appointments, visits and telephone consultations and ensuring callers are directed to the appropriate healthcare professional
  • Ensure total familiarity with all appointment systems in effect including regular and incidental variations.
  • Monitor flow of patients into consulting and treatment rooms.
  • Processing and distributing incoming (and outgoing) mail (paper and electronic)
  • Respond to all queries and requests for assistance from patients and other visitors
  • Taking messages and passing on information in a timely and appropriate manner
  • Explain practice arrangements and formal requirements to new patients and those seeking temporary cover, ensure procedures are completed.
  • Registrations of new patients computer data entry and medical records.
  • Process patients change of address computer data and medical records (have knowledge of Practice area.
  • Filing and retrieving paperwork
  • Computer data entry/data allocation and collation; processing and recording information in accordance with Practice procedures
  • Initiating contact with and responding to requests from patients, other team member and associated healthcare agencies and providers
  • Providing clerical assistance to Practice staff as required from time to time, including word/data processing, filing, photocopying and scanning
  • In conjunction with the Dispenser, undertake those dispensary tasks for which you have been trained and will be monitored to the standards defined in the Dispensary Standard Operating Procedures
  • Action requests for ambulance transportation and enter details in appropriate book
  • Provision of refreshments for staff and visitors as required; loading and emptying the dishwasher and keeping the kitchen area clean and tidy
  • Keeping the reception area, notice-boards and leaflet dispensers tidy and free from obstructions and clutter
  • Advise patients of relevant charges for private services.
