Job summary
Medical secretary to handle referrals and general secretarial duties in a surgery with over 16,000 patients
To send off dictated letters and handle patients queries. and assist with general duties that are associated in a busy GP Surgery
Must be able to work within a team.
Main duties of the job
Work as part of a small team to offer excellent patient care and support the clinical staff and be part of the face off the practice

Job responsibilities
Secretarial Duties
-
Typing of medical letters, referral letters, reports, and patient-related correspondence using audio dictation and template systems.

Processing and tracking of all referrals including:
-
NHS e-Referral Service (ERS)
-
Fast Track (2-week wait) referrals
-
Private referrals
-
Community service referrals
-
Ensuring accurate input of clinical information into patient records (EMIS).
-
Liaising with hospitals, community services, and other healthcare providers to follow up on referrals and reports.
-
Assisting clinicians with dictation and document preparation.
Administrative Support
-
Management of incoming and outgoing correspondence, including emails and text messaging.
-
Scanning, coding, and filing of clinical documents accurately onto patient records.
-
Supporting clinicians with administrative queries and tasks.
-
Providing cover and assistance to the reception and admin teams when required.
Patient Communication
-
Handling telephone, email, and face-to-face queries from patients regarding referrals, appointments, and general information, maintaining confidentiality at all times.

Explaining referral processes to patients and providing support where needed.
Data and Information Handling

Ensuring compliance with GDPR, NHS confidentiality, and data protection regulations.

Maintaining accurate records and ensuring all correspondence is logged and tracked appropriately.
