A great opportunity to work in an innovative GP practice has arisen. We provide primary care to around 13500 patients.
We are looking for an enthusiastic, flexible and well-motivated individual to work within the practice team as an Operational Administrator. This is a mixed role between reception and administrator work. Attention to detail would be a distinct advantage along with good customer service skills and experience of working within a team.
The hours are Mondays and Wednesdays and Fridays, 08:30 - 18:30, 30 hours per week.
We pride ourselves on being a strong and empathetic team and it is important that you have the personality to fit in with this ethos.
Main duties of the job
Covering front desk where you will help and support patients with their appointments and queries.
Supporting the triage Dr with online consultations.
Document workflow which will entail sorting the daily post and scanning the letters into the system where you will then process these within our clinical system.
Patient registrations as they come into the surgery.

Our surgery is looked after by:
6 GP Partners; a Practice Manager; a Finance Manager; an IT & Compliance Manager; an Operational Supervisor; 3 Salaried GP's; a Lead Nurse; 2 Practice Nurses; 2 HCA's; A Mental Health Nurse; A Research Nurse & a Research HCA.
We also have various members of the PCN team who work in the surgery such as a Pharmacist, Social Prescribers, Pharmacy Technicians and Medicine Co-ordinators.

- Ensure an effective and efficient reception service is provided to patients and any other visitors to the practice.
- Deal with all general enquiries, explain procedures and make new and follow-up appointments.
- Communicate test results using taught skills and ensuring accuracy.
- Be aware of your surroundings and of the patients in the waiting room. Be aware of which doctors and nurses are currently working in the building and whether they have arrived for their clinics. Observe clinics running late and advice patients waiting and offer apologies.
- Explain practice arrangements and formal requirements to new patients and those seeking temporary cover and ensure procedures are completed.
- Make telephone calls as required. Keep your working environment clean, tidy and free from clutter at all times.
- Ensure that you provide an efficient, professional and detailed handover to the member of staff taking over from you before you leave your duty.
- Enter requests for home visits onto the home visit screen on SystmOne ensuring careful recording of all relevant details and where necessary refer to Duty Doctor.
- Participate on a daily basis in task management and results tasks, ensuring that tasks are kept up to date at all times.
- Actively participate in Practice Training to ensure you provide a high level of service for the practice. This may mean you need to attend a training session outside of your normal working hours. You will be expected to do this to ensure that the safety of patients and the Practices adherence to the NHS Contract is achieved.
- Advise patients of relevant charges for private (non General Medical Services) services, accept payment and issue receipts for same.
- Enter patient information on to the computer as required and as appropriate and within the correct time frame for safety of receipt of the information.
- Undertake any other additional duties appropriate to the post as requested by the Partners, the Operations Supervisor or the Practice Manager.
