Job Summary
Receive, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way.
Provide general assistance to the practice team and project a positive and friendly image to patients and other visitors, either in person or via the telephone.
To work closely with the other reception staff to ensure the smooth running of reception and efficient delivery of services to the patients.
Key Responsibilities and Duties
Administration
1. To develop and maintain accurate patient record systems, both manual and computerised, including movement of records and filing of correspondence.
2. To share responsibility for the administration associated with reception including booking services, referrals, contacting patients and any other reasonable duties that may arise.
3. To be responsible for recalling patients for QOF, LCS and Enhanced services via phone, SMS and letters.To maintain, code and monitor patient lists accurately.
4. Incoming post is opened, date stamped and distributed appropriately and that the outgoing post is sent every day.
5. Make sure all patient tasks are completed in a timely manner
6. To process all incoming and outgoing telephone calls, ensuring that callers are answered courteously, promptly and clearly and that accurate messages are always passed to the appropriate person.
7. To receive and direct patients and visitors to the Practice promptly and courteously, ensuring that accurate information is supplied.
Appointments
8. To process appointment requests from patients by telephone and in person and accurate booking on Emis computer system.
Computing
9. Registration of new patients, computer data entry and medical records.
10. Process change of address and other information.
11. To process repeat prescription requests in line with Practice policy.
Other Tasks
12. To be responsible, for the opening and closing of the practice, insuring the security of the premises is maintained.
13. To be aware of, and to adhere to, the Practice policies on confidentiality, disclosure of information and recording systems, both manual and computerised.
14. To be aware of the Practice philosophy and treat patients and visitors with respect and tolerance at all times.
15. To ensure that reception and waiting areas are always kept tidy, stocked appropriately and free from hazards in accordance with Practice policy and Health & Safety Procedure.
16. To provide cover for absent colleagues and to work flexibly according to the needs of the Practice.
17. To identify, together with the Practice Manager, any personal training needs and to be prepared to undertake any relevant training courses when necessary.
18. Any other duties, appropriate to the post, as required by the Management.
Practice Meetings
To attend, wherever possible, all administrative meetings held at the Practice.
