Job summary

An exciting opportunity has arisen at Baddeley Green Surgery for full time or part time considered Reception Administrators. We are looking for pro-active, enthusiastic self motivated candidates with experience in dealing with the general public, face to face and via telephone, in either a reception or customer service role.

Main duties of the job

To be responsible for undertaking a wide range of reception duties and the provision of general support to the multidisciplinary team. Duties can include but are not limited to, greeting and directing patients, effective use of the appointment system, booking appointments, referring patients, scanning and processing of information and assisting patients as required. To act as the central point of contact for patients, the distribution of information, messages and enquiries for the clinical team, liaising with multidisciplinary team members and external agencies such as secondary care and community service providers. To provide effective high quality and responsive care appropriate and timely within a safe environment to meet the needs of our registered patients without restriction or discrimination, adhering to information governance regulations at all times. To ensure all staff both clinical and non-clinical are aware and up to date with all relevant training for their roles, to ensure safe delivery of services to patients. Working with positivity we will be flexible and adaptable to the changing needs of the NHS and our patients. About us

Baddeley Green Surgery comprises of three General Practitioners with a compliment of clinical and administrative staff members. We are a friendly forward thinking practice looking for a pro-active Reception/Administrator to compliment our team working in a friendly professional busy environment.

Job responsibilities

Maintaining and monitoring the practice appointment system Process personal, telephone and e-requests for appointments Answer incoming phone calls, transferring calls or dealing with the callers request appropriately Signpost patients to the correct service Initiating contact with and responding to, requests from patients, team members and external agencies Support in the management of repeat prescriptions, ensuring they are processed accurately and efficiently Action incoming emails when necessary Photocopy documentation as required Data entry of new and temporary registrations and relevant patient information as required Input data into the patients healthcare records as necessary Direct requests for information i.e. SAR, insurance / solicitors letters and DVLA forms to the appropriate personnel Manage all queries as necessary in an efficient manner Carry out system searches as requested Maintain a clean, tidy, effective working area at all times Monitor and maintain the reception area and notice boards Support all clinical staff with general tasks as requested Partake in audit as directed by the audit lead Support administrative staff, providing cover during staff absences Scanning of patient related documentation and attaching scanned documents to patients healthcare records Referring patients to secondary care Complete opening and closing procedures in accordance with the duty rota Ordering and monitoring of stationery supplies
