Job summary

Accountable to: Reception Manager, Practice Manager and GP Principal

Liaises with: Patients, and public; all members of the practice team; other health organisations; outside suppliers of goods and services.

JOB SUMMARY

To be the first point of contact between the patients and the practice team

To project a professional and positive image of the Practice at all times

To contribute to the achievement of QOF and other Locally Commissioned Schemes

To work cooperatively with all members of the practice team

HOURS

37.5 hours per week, (Mon-Fri) between 7:45am and 8pm and will normally include at least.

2 mornings starting at 7:45am, 2 evenings finishing at 6:45pm and at least 1 shift 11:30-8pm a month (enhanced hours)

Main duties of the job

Together with other reception staff: Open up Reception on time in the morning and close up in the evening.Ensure the waiting room is tidy at the beginning and end of each session.Be responsible for dealing with patient & GP queries; feedback / handover in a timely way.Open and date stamp all correspondence received via post, email, and courier and distribute in line with the practice protocol.Process documents using DOCMAN software.Process referrals made by clinicians.Check Practice admin email account & website daily and action.Check and process tasks daily.Be responsible for overseeing the work of temporary reception staff.Be competent at briefing locum GPs.Ensure letters are posted once a day.Take minutes for whole practice team / reception meetings.Process incoming medical report requests using iGPR software.Process Subject access requests using iGPR software.This list is not exhaustive. As a small organisation providing an essential service, all members of staff have to be flexible and willing and able to cover for a team member and carry out any reasonable request made by a GP, Reception Manager or the Practice manager.EMIS Web,DOCMAN.

SPECIFIC RESPONSIBILITIES AND DUTIES

Work flexibly as part of a team, providing cover for absent colleagues as required.

Support the practice in pursuit of CQC compliance, QOF targets and other LCS initiatives.

Answer the telephone promptly and professionally & give accurate information to patients and other callers; take accurate, clear messages.

Process incoming emails and other communications.Greet and direct patients promptly and courteously.

Co-operative approach towards colleagues / teamwork.Ability to work well and quickly under pressure.

Communicate clearly the appointment system, including e-Consult & arrangements for repeat prescribing, including online and iHUB to patients of the practice.

Handle difficult patients appropriately; understand the Practice complaints procedure.

Register new patients according to practice protocol, process deductions & amendments.

Process repeats prescriptions according to practice protocolPlay an active role the practice recall system as directed by the Practice Manager

Receive incoming deliveries and understand vaccine cold chain & storage requirements and how to deal with patient specimens.

Identify, with the RM, training needs and attend courses when necessary; attend practice meetings as requested.
