To be successful in the role you will have a keen eye for detail, work efficiently, have an excellent command of IT packages such as Microsoft Word, experience doing audio typing, taking minutes and competent letter writing skills.

To provide a comprehensive secretarial service to doctors, nurses, the Practice Manager and other staff as required. To ensure that work is completed accurately and efficiently with all enquires professionally and courteously handled whilst upholding confidentiality; Provide cover for holidays and sickness;

In this role, you will work in our Secretarial Team to help us sensitively and efficiently deliver our services. This team will consist of 3 secretaries together providing a dedicated service to our doctors, nurses and the wider clinical and administrative team. Our Practice is busy, we serve 12,500 patients locally.

Job Purpose:

To provide a comprehensive secretarial service to doctors, nurses, the Practice Manager and other staff as required. To ensure that work is completed accurately and efficiently with all enquires professionally and courteously handled whilst upholding confidentiality; Provide cover for holidays and sickness;

Key Areas:

Patient services; Secretarial Services to Clinicians;

Key Points:

Typing of referral letters as required by the doctors from audio or written notes;

Transmission of documents via email following Safe Haven procedures;

Carrying out assigned tasks from both clinical professionals and the wider team;

Arranging and assisting with meetings including note taking as required;

Managing call and recall of patients with certain medical conditions and ensuring they receive invitations to attend clinics;

Liaising with NHS Hospitals, private hospitals and other service providers in making appointments for patients making use of electronic booking systems where appropriate;

Dealing with patient enquiries by telephone and face to face and passing on timely and accurate messages to doctors and nurses where necessary;

Typing of letters and reports and provision of non-nhs services to patients;

Using computer systems as appropriate to maintain and access up to date clinical records as requested;

Ensure that all handovers to other staff are conducted efficiently and comprehensively;

At all times observe the strict rules of confidentiality;

Familiarise yourself with the Staff Manual and follow practice policies and guidelines;
