Job summary

An exciting opportunity has arisen for a motivated individual to join our team at Victoria Medical Centre as a Medical Receptionist/Administrator. This is a very interesting but demanding position within the Practice.

The post is 24 hours per week, worked Monday to Friday including 1 late night.

Main duties of the job

Exceptional communication skills, face to face and over the telephone. Comprehensive IT skills who can be focused on the detail. Knowledge of EMIS is desirable but again not essential ability to adapt to change, patients needs and NHS and Practice expectations.

About us

We are a small, friendly practice with a dedicated team.

We have 2 GPs and 1 long-term GP locum, 1 Practice Nurse, 1 Health Care Assistant, an administration team of 5, and 1 Practice Manager.

We have a Practice Pharmacist, Social Prescribers, Physiotherapists, Mental Health Practitioners, Podiatrists and a Dietitian who compliment the team. We have 1 midwife who attends the practice on a weekly basis.

Job description

Job responsibilities

Reception Duties

Ensure that all patients and visitors at reception and telephone callers to the practice are greeted professionally and politely.

Answer all incoming phone calls from patients and other healthcare professionals. Divert them as appropriate, and/or take and pass on messages.

Deal with administrative queries and requests from patients and act as liaison with the clinicians as necessary.

Make/cancel/rearrange appointments via the clinical system.

Support and assist clinicians as required.

Arrange interpreters as necessary.

Ensure up to date patient information is recorded.

Give test results where appropriate.

Daily preparations of clinical rooms at the beginning and end of the day.

Keeping tidy the workspace and waiting area.

Each morning / evening, perform the open up/lockdown procedure.

Clerical Duties

Ensure that repeat prescriptions are done accurately and efficiently following protocol.

Monitor incoming electronic test results to ensure prompt review by clinicians.

Data entry of new and temporary registrations and relevant patient information e.g. smoking status, BP, ethnicity, medication from hospital letters.

Scan patient information in computerised records i.e. medical documents, hospital reports and letters as necessary.

Retrieve paper notes from storage unit as requested.

Photocopy documents as required.

Action tasks set by clinicians via the clinical system or email.
