Job summary
Woodhouse Health Centre is looking for a motivated and enthusiastic person to join our friendly team of Medical Secretaries and Administrators. The ideal candidate should have experience of working in a medical setting, have good telephone and literacy skills, and enjoy a varied job role. IT skills are essential, with prior experience of SystmOne desirable. The ideal candidate should be able to work well as part of a small team and work well under pressure, as general practice can be a fast paced environment.
The role is to provide comprehensive secretarial and administration support to the Practice. It is essential that the post holder should exercise initiative, display a proactive attitude and be able to investigate and problem solve effectively. It is vital that the candidate has an understanding of confidentiality.
Main duties of the job
- Type referrals, letters, reports, and other documents as required as directed by clinicians and management.
- Liaise with Hospital and community departments.
- Ensure that telephone enquiries from colleagues, patients and clinicians are dealt with in a courteous and timely manner.
- To always maintain a high level of confidentiality.
- Administration duties such as working through the workflow list and checking the practice email inbox.
- Scan documents and add to SystmOne via workflow.
- Maintain referral database by forwarding feedback from Hospital Consultants to relevant GP.
- Send and receive emails using NHS email.
- Undertake photocopying and scanning as required.
- Monitor progress of 2 week wait cancer referrals.
- Creating invoice's, distributing reports of private work to GPs using Excel spreadsheets.
- Use Xero software to process private work.
- Maintain petty cashflow for the practice.
- Arrange private medical checks for patients, these include DVLA, Taxi and HGV medicals.
- Forward shared care protocol forms to GP's.
- Use SystmOne and Lexacom software to process referrals.
- Circulate information to clinicians and take minutes of meetings as required.
- Any other reasonable duties that may be required.

Woodhouse Health Centre is a large GP practice in the south of Sheffield with a population of 12,000 patients. We have a large team of friendly longstanding employees.
Due to an open vacancy we are looking for someone to join our current team of Secretaries and Administrators. The successful candidate will be working in our administration office alongside a team of Medical Secretaries and Medical Administrators.
