Job summary
Patient Services Advisor will work as a
flexible member of the team with good customer service skills and report to the Patient Services Team Leaders.
You will assist and direct patients in accessing
the appropriate service or healthcare professional in a courteous, efficient
and effective way.
Provide general assistance to the practice team and project a positive
and friendly image to patients and other visitors, either in person or via the
telephone.
Undertake a variety of duties to assist in the smooth running of the
practice including the provision of clerical support to clinical staff and
other members of the practice team.
Main duties of the job
We are looking for an enthusiastic and friendly individual
to join our patient services team. Our ideal candidate will
have previous experience in General Practice, good customer service and communication skills.
Hours will be between 7.30am and 6.30pm working 25 hours a week 5 hours a day Monday to Friday on a rota basis. Must be
flexible as there may be some evening and weekend working occasionally.
The post will suit an experienced and self-motivated person with excellent customer service and administration skills. This is a varied role; you will need excellent verbal and written communication skills and meticulous attention to detail. An excellent working knowledge of Microsoft Office Applications is essential and SystmOne is desirable.
The position is suitable for someone who is able to work as part of a team but also using their own initiative, problem solve, be self-sufficient and manage their own workload effectively.

Ensure an effective and efficient reception service is provided to patients and any other visitors to the practice. - Deal with all general enquiries, explain procedures and make new and follow-up appointments.
- Using your own judgment and communication skills ensure that patients with no prior appointment but who need urgent consultation are seen in a logical and non-disruptive manner.
- Explain practice arrangements and formal requirements to new patients and those seeking temporary cover and ensure procedures are completed.
- Receive and make telephone calls as required. Divert calls and take messages, ensuring accuracy of detail and prompt appropriate delivery.
- Enter requests for home visits into the visit book, ensuring careful recording of all relevant details and where necessary refer to Duty Doctor.
- Record and book ambulance requests as required
- Actions repeat prescription requests and ensure that they are ready for collection by the patient within 48 hours, either on the computer or manually.
- Inform patients of relevant charges for private (non General Medical Services) services, accept payment and issue receipts for same.
- Enter patient information on to the computer as required.
- Scan incoming correspondence onto patient records.
- Shredding of obsolete confidential documents and photocopying as required.
- Summarising and coding of records.
- Undertake duties associated with the processing of patient samples known as (Treatment Room duties).
- To carry out Patient Registrations and associated tasks including Deductions of patients from the Practice Register.
- Open incoming post and distribute appropriately.
- Maintain Communication portals (Emails, Text Messages, Envisage, Facebook, and Practice Website) as requested.
- Sign in Visitors to the Practice.
- Make and serve refreshments, ensure the kitchen is kept clean and tidy the waiting room in turn with other staff.

Open up premises at the start of the day when first to arrive, de-activate alarm and make all necessary preparations to receive patients.
When last to leave at the end of the day, ensure that the building is totally secured, internal lights are off and the alarm activated.
Undertake any other additional duties appropriate to the post as requested by the Partners / Management Team.
