An exciting opportunity has arisen to work within our experienced secretarial team.
The candidate must have experience working in a busy environment and be capable of prioritising their workload. Experience of working in the NHS is essential, preferably within a GP practice.
Main duties of the job
To be responsible for undertaking a wide range of secretarial and
administrative duties along with the provision of administrative support to the
multidisciplinary team.
Duties can include, but are not
limited to, the processing of information (electronic and hard copy) in a
timely manner, liaising with multidisciplinary team members and external
agencies such as secondary care and community service providers in accordance
with current policies, including the use of the electronic referral service
(ERS).

We currently have around 22000 patients. We have a large student population based at the Nottingham Trent University and a smaller diverse population at our Radford site.

Job responsibilities
- To provide a full secretarial service for the Practice e/referral system guidelines and other referral pathways.
- To liaise with clinicians, administration staff, secondary care clinicians and their secretaries, patients and other organisations.
- To ensure patients are contacted via email and telephone regarding referrals and hospital appointments. Only using the postal system when completely necessary.
- To ensure 2 week wait proformas are dealt with efficiently and promptly and contain all relevant information.
- To process requests for information i.e., SAR, insurance/solicitors letters and DVLA forms
- Coding data on the clinical IT system.
- Answering incoming phone calls, transferring calls or dealing with the callers request appropriately.
- To keep up to date with changes in referral pathways.
- Make best practice of the Practice computer systems to ensure good communication and audit standards.
- To assist the practice manager with clerical and administrative duties.
- To make appointments, hospital bookings and admissions as required.
- To arrange meetings as required and to attend meetings and take minutes.
- To establish and maintain filing and administrative systems so that written or computer information is easily accessible and secure.
- To fully brief colleagues who may cover secretarial work during periods of sickness or annual leave.
- To maintain confidentiality of patient information at all times.
- Managing all enquiries in an effective manner
- Maintaining an accurate referrals database
- To scan patient related documentation and attaching scanned documents to patients healthcare records
- To Input data into the patients healthcare records as necessary
- To support all practice staff with general administrative tasks as requested
