We have two exciting opportunities for new Receptionists/Telephonists to join our Practice Team at Elmwood Family Doctors. We have surgeries in Holmfirth and Meltham. We have all been working hard over the past two years during the Covid pandemic, but our amazing supportive team has made this experience far better than we could have imagined. Main duties of the job

As a Receptionist you will provide positive and friendly service to patients and other visitors , either in person or via the telephone as well as undertaking a variety of administrative duties to assist in the effective running of the practice.

We have two part time roles;

Vacancy One, total 18 hours

  • Monday 8am - 2pm (at Holmfirth)
  • Tues 2pm - 8pm (at Holmfirth)
  • Weds 2pm - 8pm (at Holmfirth)

Vacancy Two, total 24 hours

  • Monday 8am - 2pm (at Holmfirth)
  • Tues 8am - 2pm (at Holmfirth)
  • Weds 2pm - 8pm (at Meltham)
  • Thurs 12 - 6pm (at Holmfirth)

The successful candidate needs to be enthusiastic, flexible, motivated and able to work on their own initiative to perform effectively and efficiently all duties required of the role .

Elmwood Family Doctors is a forward thinking practice operating over two sites, serving a population of 15,000 patients in the Holme valley. We are a well established training practice for GP trainees, nursing students and other health professionals. As a practice with a recent "Outstanding" CQC rating, we continue to work hard to deliver a high level of quality care to our patient population .The Partners work in close collaboration with the clinical team, practice management and administrative support team to work towards a patient centered vision for the practice.

  • Processing personal and telephone requests for appointments, visits and telephone consultations, and ensuring callers are directed to the appropriate healthcare professional
  • Dealing with patient queries and their resolution
  • Maintaining and monitoring the practice appointments system
  • Processing and distributing incoming mail
  • Processing repeat prescriptions in accordance with practice guidelines
  • Computer data entry/data allocation and collation; processing and recording information in accordance with practice procedures
  • Initiating contact with and responding to requests from patients, other team members and associated healthcare agencies and providers
  • Taking messages and passing on information
  • Filing and retrieving paperwork
  • Opening up/locking up of practice premises and maintaining security in accordance with practice protocols
  • Re-stocking of consulting rooms as required

Qualifications

Essential

  • A good basic level of education including Grade C or above in English and Mathematics at GCSE, or equivalent

Desirable

  • Healthcare reception training qualification (ie. AMSPAR)

IT skills

Essential

  • Good keyboard and typing skills.
  • Basic knowledge of Windows based systems and ability to use Word and Excel

Desirable

  • Competence in use of SystmOne

Experience

Essential

  • Experience of working with people face to face and/or on the telephone

Desirable

  • Relevant GP surgery or other NHS experience.

Knowledge and Skills

Essential

  • Good organisational skills and ability to prioritise own workload. Ability to work on own initiative, independently and as part of a team.
  • Ability to understand and apply set procedures and protocols Willingness and ability to work towards personal performance objectives
  • Must have a flexible and positive approach and be able to cope under pressure.
  • Reliable, good timekeeper
  • Must be adaptable to change
  • Must be reliably able to work flexible hours as part of a team including work outside of normal office hours.
  • Willingness to attend and contribute to training and development sessions within the Practice occasionally outside of normal hours Able and willing to work at both practice sites
