Job summary

As a receptionist at Forest Medical, you will be the first point of contact for members of the public calling and visiting the Practice. This is a highly interactive job as you will get to speak to members of the public from all ages and backgrounds. Working as a receptionist at Forest Medical will be hugely rewarding, having the feeling of accomplishment knowing your contributions are making a positive impact on the care of our patients.

You will be working alongside the rest of our dedicated and friendly practice team that is made up of administration and clinical staff. You will also have regular contact with the PCN team's we work with that enables us to offer a wider range of services to our patients.

You will primarily be working at the Rosemary Street Site, but you may be required to work at the Oak Tree site on occasion.

Main duties of the job

The main duties of a receptionist at Forest Medical is being the first point of contact. This entails greeting patients entering the surgery and also making and receiving phone calls. Alongside this you will be expected to book appointments, complete prescription requests, and arrange home visits for our housebound patients. Your duties may and will fall outside of these mentioned above in line with practice demand.

Overview

Forest Medical is the second largest training practice in the Mansfield area with a current patient list of over 18,000 and climbing. We run two practice's in Mansfield, these being Rosemary Street Health Centre, and Oak Tree Lane Surgery. This means it can be an intense and busy environment. On the other hand, it is a hugely rewarding workplace for both our clinical and non-clinical staff. We pride ourselves on having a strong, dependable, and friendly team.

Opening hours:

Rosemary Street Health Centre is open from 7am-7pm Monday - Friday.

Oak Tree Lane is open from 8am-5pm Monday to Thursday.

Job Title: Medical Receptionist

Reporting to: Senior Receptionist/Practice Management

Main purpose of this role:

Receive, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way.

Provide general assistance to the Practice team and project a positive and friendly image to patients and other visitors, either in person or via the telephone

Relationships within the practice:

Management and responsibility is provided by the Reception and Practice Management overseen by the Partners. Assistance and guidance will also come from other Forest Medical team members such as receptionists, medical secretary and clinicians.

Job Responsibilities:

Duties and responsibilities may include any or all of the following:

  • Ensure an effective and efficient reception service is provided to patients and any other visitors to the Practice.
  • Initiating contact with and responding to requests from patients, other team members and associated healthcare agencies and providers
  • Deal with all general enquiries, explain procedures and make new and follow-up appointments.
  • Using your own judgment and communication skills ensure that patients who need an urgent consultation are seen in a logical and non-disruptive manner.
  • Explain Practice arrangements and formal requirements to new patients and those seeking temporary cover.
  • Receive and make telephone calls as required. Divert calls and take messages, ensuring accuracy of detail and prompt appropriate delivery.
  • Enter requests for home visits ensuring careful recording of all relevant details and where necessary refer to Duty Doctor
  • Process and action repeat prescription requests in accordance with Practice guidelines and ensure that they are processed within 48 hours.
  • Action requests for ambulance transportation
  • Ensure reception and waiting areas are kept neat and tidy.
  • Uphold and abide to agreed Practice Patients Charter and assist in the distribution of relevant Practice leaflets, Research information, Health Promotion questionnaires etc to patients.
  • Advise patients of relevant charges for private (non-General Medical Services) services. Accept payment and issue receipts.
  • Computer data entry/data allocation and collation; processing and recording information in accordance with Practice procedures.
  • Administer the practices call recall systems for disease management and vaccinations.
  • Patient notes and correspondence:
  • Retrieve and re-file records as required, ensuring strict alphabetical order is adhered to.
  • Ensure correspondence, reports, results etc are scanned into the correct patient record and allocated to the appropriate clinician.
  • Premises: Open up premises at the start of the day when first to arrive, de-activate alarm and make all necessary preparations to receive patients. When last to leave at the end of the day, ensure that the building is totally secured, internal lights are off and the alarm activated.
  • Ensure that all new patients are registered onto the computer system promptly and accurately.
  • Ensure administrative paperwork is well stocked.
  • Order and monitor stationery and other supplies
  • Deal with confidential waste appropriately
  • Wear appropriate clothing or uniform provided by the Practice.
  • Undertake any other additional duties appropriate to the post as requested by the Partners or the Management
  • Be flexible in arrangements to cover colleagues annual leave and sick leave.
