Job summary

We are a growing surgery located near to Chichester and the South Downs. 

If you want to work in a friendly, supportive team and are looking for your next challenge then please contact the surgery. Visits are welcome as it gives potential applicants the opportunity to see the surgery in action and decide whether it has the right feel. You may even be offered a slice of cake if some is available!

Main duties of the job

The Medical Secretary provides administrative support for clinical staff. They are responsible for ensuring referrals are sent off in a timely manner, managing document workflow and for providing admin support for safeguarding procedures. The role also requires that the surgery emails are checked daily and actioned appropriately. 

We are looking for someone who has recent secretarial experience in a GP surgery and is used to the expectations with regards to the pace and quality of work that is required.

We are a growing surgery and the staff enjoy working and playing hard. 

We offer 25 days leave plus Bank Holidays, membership of the NHS pension scheme and a welcoming and supportive team. Our staff social committee is currently organising a surgery BBQ, a trip to Bath and our Christmas party....(is it too early to mention that?)

Our surgery is located just up the road from Southbourne Farm Shop which makes exceptionally good cakes and pies - which we enjoy consuming on a regular basis!

The successful candidate will be given a full induction and training will be provided to ensure that there is clarity around systems and procedures. Ongoing training will be provided as necessary.

Job description

Job responsibilities

a. Typing letters, reports and associated documentation as required

b. Liaising with external agencies such as hospitals and community services, ensuring referrals are processed efficiently

c. Managing all enquires in an effective manner

d. Maintaining an accurate referrals database

e. Actioning all incoming email and processing econsults

f. Processing calling letters as requested

g. Scanning of patient related documentation and attaching scanned documents to patient’s healthcare records

h. Inputting data into the patient’s healthcare records as necessary

i. Processing referrals in a timely manner

k. Managing document workflow following the surgery protocol

l. Answering incoming phone calls, transferring calls or dealing with the callers request appropriately

m. Managing all administrative queries as necessary

n. Carrying out system searches as requested

o. Maintaining a clean, tidy, effective working area at all times

p. Providing administrative support for safeguarding procedures
