GP Receptionist

Job summary

We are looking for an experienced medical receptionist to join our busy but supportive team. The role will involve answering telephone calls, dealing with patient queries, bookings and prescription requests.

Applicants should be able to demonstrate a caring and friendly approach to members of the public and a good understanding of teamwork.

We would welcome applicants looking for a up to full time hours (those looking for part-time employment would also be considered).

Main duties of the job

Applicants should have excellent communication skills and a good telephone manner as much of the work involves dealing with patient queries over the telephone. Good IT skills are essential although full training will be given on our software packages. An understanding of data protection and confidentiality is essential in the work that we do but training will be given on this as part of our induction process. Applicants should be able to work as part of a team and have an understanding of what makes a good team player. An ability to multi-task and work under pressure is also desirable as our reception area can be very busy at times.

About us

We are a very friendly team with a low turnover of staff. Some staff members have worked in the practice for over 20 years and we have good relationships amongst the various professional groups. We are supportive of one another and very keen to provide patients with the best service possible.

Job description

Job responsibilities

Reception duties - please see attached Job Description in supporting documents

1. Check patients in for surgeries or clinics and direct to the appropriate doctor or nurse

2. Ensure complete familiarity with appointments system in operation to enable the most effective booking of appointments

3. Record requests for home visits onto the daily visits list including all relevant information, and where necessary refer to the duty doctor.

4. Advise patients of the system for arranging non-urgent ambulance transport.

5. Give pathology/x-ray results to patients according to agreed procedures

6. Explain practice arrangements to new patients and temporary residents and ensure necessary procedures are completed

7. Respond to all queries and requests for assistance from patients, visitors and other members of the PHCT

8. Pass messages, whether orally or in writing, accurately and promptly

9. Provide the point of contact for patients with enquiries relating to their repeat prescriptions and ensure follow-up action is taken if the enquiry cannot be resolved immediately

10. Ensure any necessary records are prepared in advance for surgeries and visits including nightly lists of next days surgery appointments

11. Sort incoming mail and direct to the appropriate member of the team

12. Ensure correspondence, reports, results etc are scanned and/or filed in the correct record

13. Open up premises at the start of each day, set alarm to day function and make all necessary preparations to receive patients

14. Secure premises at end of day, ensure building is totally secured, internal lights off and alarm activated

  • NVQ Customer Care Level 3 Qualification in reception work or equivalent
