Role Summary
Patient Advisors are essential to the smooth, efficient, and friendly running of the practice. As the first point of contact for patients and visitors, whether in person, online, or by phone you will ensure that every interaction reflects our commitment to high-quality, patient centred care.
This role supports patients in accessing the right clinical care, enables the clinical team to deliver that care effectively, and ensures reception and administrative functions operate to a high standard.
Key Responsibilities
- Provide a professional, welcoming service to all visitors and callers.
- Handle incoming telephone calls appropriately, using triage tools where required.
- Manage the flow of patients arriving for appointments, prescriptions, and queries.
- Support clinical staff through accurate and efficient administrative processes.

Key Tasks
Patient Support & Reception Duties
- Greet patients and direct them to automated checkin where appropriate.
- Handle patient enquiries courteously, efficiently, and in line with practice protocols.
- Book appointments through the clinical system (EMIS Web) following inhouse triage processes and digital consultation workflows.
- Manage telephone queries, requests, and messages, ensuring timely liaison with clinicians and team members.
- Advise patients of fees for nonNHS services.
- Receive and log specimens, ensuring all details are accurately entered on EMIS Web.
- Maintain a tidy waiting area throughout the day.
Administrative Duties
- Maintain uptodate knowledge of practice policies, procedures, and protocols and work in full adherence to them.
- Provide administrative support for GPs, nurses, and wider clinical staff.
- Open, record, distribute, and process incoming and outgoing post.
- Scan non-digital documents into EMIS Web and appropriately code when required.
- Update patient records (e.g., address, contact details, communication preferences) in line with practice procedures and GDPR.
- Support digital pathways, online consultation workflows, and assist patients with digital access where appropriate.
