Job summary

The Simpson Centre & Penn Surgery are a moderately large GP partnership based across 2 sites in the beautiful town of Beaconsfield and neighbouring Penn Village with a total of ~19,000 patients. We are dedicated to providing top quality clinical care and patient experience with the results to match, and we are focussed on being active in our local community through community outreach and education events. We are looking for someone with passion and ambition to join our management team, to support us in continuing to provide the best care and cutting edge services.

The HR and Patient Experience Manager is an exciting and varied role. With your people management experience you will lead on people initiatives supporting our team whilst also speaking to patients and liaising with our patient participation group (PPG).

The Simpson Centre and Penn Surgery really is a great place to work, with many of the team working here for 10 years +. Main duties of the job

The primary responsibility of the role is to manage and support all aspects of the employee lifecycle. You'll play a key part in shaping the employee experience, supporting the partners and ensuring our people practices align with our business goals. Compliance with HR legislation and the CQC framework is essential.

The role is varied and you will also be responsible for the premises management of 2 sites. Beaconsfield is a managed building whilst Penn is standalone. There is support for both sites.

Manging patient complaints requires sensitivity and empathy with a clear process to follow for resolution.

Our Patient Participation Group (PPG) meet on a monthly basis and are responsible for a patient newsletter and organisation of events. You will liaise with and support them to achieve their objectives.

The Simpson Centre and Penn Surgery have 8 GP partners, supported by 4 salaried GPs. 5 GP partners and 3 salaried GP's are are based at The Simpson Centre with 3 GP partners and 1 salaried GP at Penn. The GPs are supported by a Nursing team along with a Reception team at each site together with administrative functions totalling 50 people.

Job responsibilities

As the HR & Patient Experience Manager your primary responsibility is to manage and support all aspects of the employee lifecycle. You will be expected to demonstrate competence in managing the people processes for the practice, supporting the partners in ensuring a positive, productive and inclusive culture. You will ensure compliance with employment legislation and keeping up to date HR records.

You will be part of the senior management team and will work flexibly, supporting and deputising for the Practice Manager during absence. The role is varied and you will also be responsible for premises management across 2 sites, managing patients complaints and liaising with the patient participation group (PPG). You will work 2 days at The Simpson Centre and 1 day at Penn Surgery.

You must be CIPD qualified however previous NHS/healthcare experience is not essential for this role.

Key Responsibilities

Recruitment and Onboarding:

Managing the full recruitment cycle, updating job descriptions, writing and placing job adverts, resume screening to interviews and onboarding new people.

Employee Relations:

Addressing employee grievances, managing conflict, and fostering positive relationships between employees and management.

Training and Development:

Identifying training needs, organising training as appropriate and supporting employee development initiatives.

Performance Management:

Assisting with performance appraisals and agreeing performance goals. Providing feedback to employees.

Compensation and Benefits:

Administering employee benefits, managing payroll, and ensuring fair and competitive compensation practices.

HR Policies and Procedures:

Developing, implementing, and maintaining HR policies and procedures, ensuring compliance with employment laws and regulations.

Employee Records Management:

Maintaining accurate and confidential employee records and HR databases in line with employment legislation and CQC standards.

Compliance:

Ensuring the practice complies with all relevant employment laws and regulations.

Employee Support:

Providing resources and support to our team, promoting a positive and inclusive work environment.

Communication:

Effectively communicating HR policies, procedures, and information to the team and management.

Premises

Responsible for management of premises and facilities for both The Simpson Centre (managed building) and Penn Surgery.

Responsible for Health & Safety across both sites.

Patient Experience

Be the patient experience champion within the management team.

Act as the first point of contact for all patient complaints, ensuring the correct process is followed, complaints logged on Teamnet and all complaints are responded to in a timely manner. (Supported by the wider management team and GP Partners)

Attending the monthly PPG group meeting and acting as liaison between the group and the practice supporting with newsletters and patient information events.

Oversee the friends and family test results and analysis.

Management of the practice website and social media communication,
