Job summary

Are you an exceptional Operations Manager seeking a rewarding role in healthcare? We are looking for an Operations Manager to support our Practice Manager and Partners in the day-to-day operations of our GP practice, ensuring the highest level of administrative service for our patients.

The successful candidate should have experience in managing people, systems, and services. While healthcare sector experience is preferred, it's not essential. You should possess strong leadership skills, the ability to manage staff effectively, work with diverse operating systems, and provide outstanding customer care.

Main duties of the job

  • Work closely with GP Partners and the Practice Manager to provide timely and responsive support for business, administrative, clinical, and patient services.
  • Support the Practice Manager in ensuring the smooth daily operation of the surgery.
  • Provide on-the-ground management and leadership, optimising administrative processes, revenue, and patient experiences.
  • Compile and analyse data to support informed practice decision-making.
  • Address patient inquiries and concerns to ensure a positive experience.
  • Assist with CQC compliance and premises issues, liaising with landlords.
  • Contribute to HR functions, including recruitment, training, and appraisals.
  • Assist in information governance and IT management.

Foster patient relations and handle complaints effectively with the support of the management team.

About us

The Simpson Centre and Penn Surgery is a twin site General Practice, with a 18500 patient list. We are a teaching and training practice. We train GP Registrars from Thames Valley Deanery and teach medical students from Oxford University and Buckingham University. In addition, we also train physician associates, nursing assistants, and support clinicians to help them qualify as prescribers. We have a large multidisciplinary team which provides a range of patient facing and non-patient facing services.

Job responsibilities

The Operations Manager is responsible for:

Supporting the practice manager in the day-to-day operations of the practice, ensuring staff achieve their primary responsibilities

Providing leadership and guidance to all staff ensuring that they adhere to policy and procedure at all times

Overseeing the administrative elements of QOF, liaising with GPs, nursing staff and administrators

Implementing systems to ensure compliance with CQC regulations and standards

Reviewing and regularly updating job descriptions and person specifications ensuring all staff are legally and gainfully employed

Assist the practice manager in recruitment including pre-employment checks and DBS

Implementing and embedding an effective staff appraisal process

Implementing and embedding an effective practice and staff development plan for all staff (clinical and administrative) whilst maintaining a robust training record

Implementing effective systems for the resolution of disciplinary and grievance issues, maintaining an overview of staff welfare

Actively encouraging and promoting the use of patient online services

Updating and acting as the focal point for the practice website and social media sites

Guiding staff and developing searches and audits on the clinical system

Liaising with the premises management agency and highlighting issues with services i.e., cleaning, gardening, window cleaning etc. Logging maintenance issues.

Guiding the team to reach QOF targets (supported by clinical and administrative leads)

Ensuring the staff implement the practice wide approach to the management of all patient services matters

To maintain an equipment log ensuring that CCG and practice owned equipment is readily identifiable.

To assist the practice manage to allocate work with the CCG to validate patient information, performing regular checks and quality audits.

Deputise for the practice manager in the practice managers absence.
