Job summary

We have a vacancy for a part-time Practice Manager (approx 24 hours/week over 3 days).

Great Staughton Surgery works differently to the traditional practice management model and has two part-time Practice Managers. One is the lead on HR and the other, this vacancy, is the lead on Finance.

Both roles work closely together and overlap on managing the majority of the day-to-day workload.

The successful candidate will be able to prioritise tasks and work well under pressure. The candidate will be confident liaising with GP partners and staff, patients, practice accountants and external organisations.

Main duties of the job

To manage and coordinate all aspects of practice finances, optimising efficiency and financial performance. Through innovative ways of working, drive to achieve NHS targets and changes within a profitable, efficient practice environment, supporting the management team in promoting ED&I, SHEF, Quality & CI, Confidentiality, Collaborative Working, Service Delivery, Learning and Development, and ensure the practice complies with CQC regulations.

About us

We are a very friendly, rural practice with a growing list size of approx. 5300. Great Staughton is located five miles from St Neots with excellent transport links to the A1/A14. We have been rated first in Cambs and Peterborough for patient experience in the 2023 GP Patient Survey.

Our team consists of a GP Partner, 2 Salaried GPs, 1 ANP, 2 PN, 1 HCA, 1 Clinical Pharmacist plus a full Patient Services Team. We are a dispensing practice and have 3 dispensers. We are also supported by PCN ARRs roles.

Ideally we are looking for an experienced Practice Manager within Primary Care, however, if you have equivalent experience and feel you have the skills and are willing to go the extra mile to develop our practice together with the other Practice Manager, we would love to hear from you.

Job description

Job responsibilities

The following are the core responsibilities of the practice manager. There may be on occasion, a requirement to carry out other tasks; this will be dependent upon factors such as workload and staffing levels.

The practice manager is responsible for:

a. Manage practice finances, maximising income and reducing expenditure

b. Accurately monitor cash flow, forecast and predict workflow corresponding to income

c. Review all income and expenditure statements, identifying any inaccuracies and rectifying such issues

d. Managing the financial elements of the practice, including budgets, petty cash, etc. seeking to maximise income and reduce expenditure

e. Managing contracts for services i.e. cleaning etc.

f. Maintaining an effective liaison with the accountant, overseeing practice accounts, ensuring year-end figures are presented

g. Briefing partners on all financial matters, including forecasting

h. Managing and processing partner’s drawings, PAYE and pensions for practice staff

i. Ensuring the practice has appropriate insurance cover

j. Ensure invoices are paid within the given time frame

k. Submit year-end figures liaising with the practice accountant

l. Oversee the practice pension scheme, retaining accurate records

m. Oversee PAYE for all practice staff

n. Present financial forecasts to partners as and when required

o. Understand and brief the management team on financial implications of contract and legislation changes affecting the practice

p. Maintain an effective working relationship with the CCG and PCN, ensuring the practice receives a proportionate and equitable allocation of resources

q. Coordinating the reviewing and updating of all practice policies and procedures

r. Leading change and continuous improvement initiatives; coordinating all projects within the practice

s. Coordinating and leading the compilation of practice reports and the practice development plan (PDP)

t. Managing the procurement of practice equipment, supplies and services

a. Act as the primary point of contact for finance-related matters with NHS(E), the CCG and the practice accountant

u. Developing, implementing and embedding an effective communication strategy (internal and external)

v. Ensuring the practice maintains compliance with its NHS contractual obligations

w. Actively encouraging and promoting the use of patient online services

x. Liaising at external meetings as required

y. Marketing the practice appropriately

z. Preparing agendas for, and chairing practice meetings

Secondary responsibilities

In addition to the primary responsibilities, this post-holder may be requested to:

b. Partake in audit as requested

c. Attend and actively participate in practice management meetings

d. Attend any external meetings pertinent to the role of Finance Manager
