An exciting opportunity has arisen for two part-time Medical Receptionists to join our friendly Practice Team.
Market Cross Surgery is a busy expanding rural practice, situated in the pretty village of Corby Glen, which is approximately 15 minutes from Bourne & 20 minutes from Grantham
We value the members of our practice team, who all work extremely hard to offer an excellent service to our registered patients, which is currently in excess of 5,000 patients

Excellent telephone & face to face customer service skills are essential, in order:
- To act as the main point of contact for patients and visitors attending the surgery
- To effectively and efficiently communicate with patients and external agencies over the telephone
- To effectively and efficiently communicate with all members of the Practice Team
- Maintain high levels of patient service and confidentiality at all times
- Computer literate (knowledge of SystmOne and Microsoft Word advantageous)
- Attention to detail and accuracy essential
- Previous General Practice experience preferred but not essential (relevant training would be given)
- Salary dependent on experience
Main duties of the job
Vacancy 1 - 21.25 hours per week:
• Monday -0800 – 1200
• Tuesday -1400 – 1800
• Wednesday -1400 – 1800
• Friday AM - 0745 – 1230 (1 hour lunch break) PM -1330 – 1800
Vacancy 2 - 18.25 hours per week:
Monday- 0800 - 1200
Tuesday -1200- 1600
Wednesday - 0745 - 1300
Thursday- Day Off
Friday - 0800 - 1300
In addition to the above contractual hours, it is essential you can provide flexibility to cover staff holiday/sickness, which would include your day off, when required. Cover for our weekday evening and Saturday Extended Access and Aesthetic clinics, is also required. Surgeries may also run late due to unforeseen circumstances, therefore, it may be necessary to stay beyond your contracted finish time, if this circumstance arises.

Job responsibilities
Receive patients and visitors in a polite and courteous manner both face to face and over the telephone
Receive and make telephone calls as required. Divert calls, take and communicate messages to members of the Surgery Clinical and Administrative Team
Take and communicate all messages accurately passing on to the appropriate clinician/team member in a timely manner
Take and communicate messages to and from External Agencies with whom we collaboratively work with; adhering to the strict confidentiality at all times
Provide accurate information regarding surgery times, appointments and the range of services available to both registered patients and those wishing to register with the Surgery. Signpost to the most appropriate member of the Practice Team if you are unable to deal with any requests for information
Ensure patient registration forms for both permanent and temporary patients are correctly completed and to input of new patients details on to computer system in a timely manner
Book appointments with the most appropriate clinician using the computerised clinical system (SystmOne) ensuring sufficient information is recorded
To maintain the computerised appointment system with time of arrival of patient
Ensure efficiency of the appointment system by monitoring the flow of patients into the consulting and treatment rooms. Communicate effectively and efficiently with patients and visitors in the waiting room if delays occur
Record requests for visits and ensure the Doctor or Nurse is informed of any urgent requests
To liaise with ambulance control for emergencies and urgent needs
Advise patients of relevant charges for private services. Generate invoices and take payments by both cash and card. Issue patient with receipt and record such transactions in the appropriate record book
Ensure that any complaints are directed to the Practice Manager in line with the practice procedure
Participate in all staff training and meetings appropriate to your role and as required by the practice
Flexibility to provide additional Reception cover for holidays and sickness is essential
Flexibility to provide additional cover in the event of holidays and sickness for both Extended Access and Glen Eden Aesthetics Clinics is essential; this will include evening and Saturday working
Deal with enquiries relating to Glen Eden Medical Aesthetics in line with the practice policy
Pass on information relating to urgent or unresolved problems at the end of your shift
Share in tea and coffee making for staff members
Maintain adequate supplies of registration and other forms ordered from PCSE (Primary Care Services England)
Ensure e-mails both to Reception and your own NHS Mail address are checked daily and acted upon accordingly
Ensure all outgoing mail is appropriately franked and ready for the daily collection by Royal Mail
Ensure all incoming correspondence/patient forms etc. are opened and circulated appropriately in a timely manner. Where applicable record in appropriate record book
Assist with electronic scanning of incoming patient correspondence
Receive samples from patients at Reception and record in appropriate record book.
Ensure correspondence for hospital is ready for daily collection by the courier
Tidy the waiting room and check the patient toilet areas at lunchtime and the end of day
Ensure end of day procedures are completed including securing the building
