Job summary

An exciting opportunity has arisen, for a part-time qualified Dispensary Manager, to join our friendly Practice Team.

Market Cross Surgery is a busy expanding rural practice, situated in the pretty village of Corby Glen, which is approximately 15 minutes from Bourne & 20 minutes from Grantham

We value the members of our practice team, who all work extremely hard to offer an excellent service to our registered patients, which is currently in excess of 5,000 patients

Previous Experience of working as a Dispensary Manager in General Practice is essential

Part-time hours, 26 per week. The working pattern will be arranged to meet the needs of the practice, which could involve working on a Saturday

A high degree of flexibility is essential to cover periods of leave within the dispensary team, sometimes at short notice

Salary - Commensurate to reflect qualifications and experience

Main duties of the job

  • Managing the practice dispensary and a team of 6 Staff
  • Dispensing as part of weekly working pattern, including preparation of Dossett boxes
  • Organising dispensary staff rotas and ensuring adequate staff always cover
  • Ensuring Dispensary staff are up to date with mandatory training
  • Assisting the Practice Manager with recruitment and HR for dispensary staff, including annual appraisals
  • Management of annual DSQS, including review of SoPs and staff competencies
  • Arrange Dispensary Staff Meetings and attend Management Meetings
  • Efficient and cost-effective purchasing, stock control and rotation
  • Checking dispensary invoices against delivery notes, ensuring any credit notes due are received
  • Meet regularly with drug company representatives to ensure the best deals are received

  • Analysis of invoices for bonus stock and ensuring bonus stock is received
  • Sorting prescriptions, checking endorsements, preparing forms, and submitting prescriptions monthly to the NHS Prescription Services; preparing vaccine list; dealing with prescriptions returned by the NHS Prescription Services

  • Monthly: calculating number and value of prescription charges and checking against health authority statements

Job responsibilities

Managing the practice dispensary and a team of 6 Staff

Dispensing as part of weekly working pattern, including preparation of Dossett boxes

Organising dispensary staff rotas and ensuring adequate staff always cover

Ensuring Dispensary staff are up to date with mandatory training

Assisting the Practice Manager with recruitment and HR for dispensary staff, including annual appraisals

Management of annual DSQS, including review of SoPs and staff competencies

Arrange Dispensary Staff Meetings and attend Management Meetings

Efficient and cost-effective purchasing, stock control and rotation

Checking dispensary invoices against delivery notes and recording items for bonusing

Passing such invoices for payment

Arrange with external company, annual stock check for dispensary, treatment rooms, CD cupboard and consulting rooms

Daily: cashing up prescription moneys, balancing and recording

Weekly: submitting prescription moneys to the practice manager for banking, ensuring sufficient change is available

Destruction of drugs

Daily: dealing with returned medication from patients

Monthly: dealing with uncollected medication

Quarterly: dealing with returned controlled drugs from patients for destruction

Six monthly: dealing with out-of-date controlled drugs with the appropriate officer from the Health Authority for destruction

Overseeing/checking colleagues dispensing

Generating monthly repeat prescriptions for the practice, liaising with the relevant partners over any necessary changes in medication

Collecting prescription charges from patients

Dispensing “black-listed” medication, pricing, and recording

Dispensing private patients’ prescriptions, pricing, and entering on account cards, calculating private patients’ monthly accounts (including consultations), and submitting invoices

Removing out of date repeats from patients’ computerised repeat prescription lists
