Job summary

Job Type:

Part time 25 hours per week working over 4/5 days with a view of working early shifts and afternoon shifts.

We are currently seeking a highly skilled and meticulous Workflow Administrator to join our dynamic team in the primary care sector. As a Workflow Administrator you will play a crucial role in accurately coding patient medical records, ensuring compliance with coding guidelines and maintaining data integrity. This position requires a strong understanding of medical terminology, coding systems, and excellent attention to detail.

Main duties of the job

Workflow Administrator:

To function as data input clerk as required with responsibility for the inputting of data according to established routine e.g., hospital letters, all incoming mail. Review and analyse medical documentation. Ensure coding is compliant with coding guidelines and regulations. Monitor Patient call and recall systems. Scanning and coding of letters into patients notes. Any additional duties as outlined in the job description.

About us

Woodlands Medical Practice are a well established 5 partner GP Practice situated in Sutton In Ashfield Nottinghamshire. We currently have a list size of approximately 10,500 patients. We have been a training practice within Mansfield Vocational Training scheme for around 30 years and the practice have always been popular and well regarded by the GPRs / F2s in the past.

We have a full compliment of nursing and HCA staff that support the practice. Woodlands have a well organised and dedicated team of reception and Administration staff including a Data quality team and Prescription clerk team.

We offer free parking to all staff, access to the NHS pension scheme and access to the benefits of the Blue light card discount scheme. Uniform will be provided at the cost of the practice.

All staff will be given full training and support by the practice to develop into the role.

We are a very friendly , professional practice and have high standards to which we work to which has earnt us the CQC rating of outstanding.

The practice uses the clinical programme TPP SystmOne.

Scanning and coding of letters and relevant correspondence into patients notes.

Filing and retrieving paperwork

Assist in the tasks and duties of other staff within the team during periods of staff leave / absence to ensure that an effective quality service is always maintained and contributing to the work of the team.

Assess own performance and take accountability for own actions, either directly or under supervision.

Assist in the development and implementation of coding policies and procedures

Provide coding education and training to healthcare staff as needed

Maintain patient confidentiality and adhere to data protection regulations.

Support the wider administration and reception team with admin and reception cover this will include occasional late night and Saturday cover when required as and when directed by the management team.

  • Qualifications GCSE (or equivalent) Grade A*- C / 9-4 in English Language and Maths.

Desirable

  • Qualified to NVQ Level 2 in Business Administration
  • Certificate in Medical Terminology

Experience

  • Experience of using clinical SystmOne.
