Main duties of the job

Clinical coding of correspondences using EMIS Web and Anima software.

Performing a variety of administrative tasks, including scheduling appointments, managing records, and handling correspondence.

Assisting with audits or quality improvement initiatives related to clinical coding.

Provide general administrative support to the clinicians and colleagues as needed.

Assisting reception as needed.

We are a large and dynamic GP practice serving a diverse London population. We have just under 23,000 patients. Our team is made up of 14 GPs, 1 Advanced Nurse Practitioner, 1 Physician Associate, 3 Nurses, 3 HCAS, 1 GP Trainee, 2 Pharmacists, 2 Physiotherapists, 1 Mental Health Practitioner and 1 Social Prescriber and admin team.

Putney is a diverse inner suburb of London with excellent transport links. There is a mainline train station and it is also on the district Underground line. The practice is just off the main high street where there are a great selection of shops and restaurants. Putney is fortunately located within easy reach of 4 large hospitals (St Georges, Chelsea & Westminster, Charing Cross and Kingston).

Job description

Job responsibilities

Duties and Responsibilities:

Administration

Go through incoming clinical correspondence and attach it to patients record (main sources: emails, Document Management on EMIS, post)

Code clinical correspondence as required using the Anima software - such as new diagnoses, test results, however a list will be provided.

Allocate/ tasks clinical correspondence to clinician or staff as required

Allocate incoming emails on Heathbridge Admin to corresponding teams

Go through the PST list and action as required

Go through the PST tasks on Workflow Manager and action as required

Go through AccuRx tasks and action as required

Chase test results i.e blood tests and scans

Chase clinical correspondence

Go through CPT tasks on Workflow Manager and action as required

Go through AccuRx requests and action as required

Code COVID vaccination onto patients record

Refer patients for COVID vaccination

Go through the Diary Recall list and book patients as required

Go through the QOF recall list and book patients as required

Help out on assisting clinicians on studies such as Hypertension Study and action the given list as required

Go through certain Lab Reports, file, action and archive as required

Conduct audits for clinicians to help improve practice performance i.e Smear audit

Go through the Safeguarding register as per instruction or as per requirement.

Receive Minor Ops referrals and action as required

Go through child immunisation recall list and action as required

Appointments

Process appointment requests for on the day and future appointments from patients by telephone, in person or via patient access.

Ensure that patients requiring/without appointments but who need 'urgent consultations are booked into appropriate slots and referred to a GP where necessary.

Enter requests for home visits into the surgery list, appointment system and ensuring careful recording of all relevant details and where necessary refer to Duty Doctor. This may include preparing a visit summary sheet.

Computer

Registrations of new patients computer data entry and medical records.

Scanning of all relevant correspondence into computer records.

Ensuring lab results and hospital letters are scanned correctly into patients clinical computer records.

Use Agilio Clarity TeamNet to access calendar of events and policies

Telephone

Receive and make telephone calls professionally and as required.

Divert calls and take messages, ensuring accuracy of detail and prompt appropriate delivery.

Have working knowledge of telephone system including out of hours arrangements.

Other Tasks

Ensure all Health & Safety protocols are adhered to within the desired timescales as indicated in the Practices Health & Safety Policy.

If last to leave at the end of the day, ensure that the building is totally secured, internal lights are off, all electrical equipment has been turned off and the alarm activated.

Ensure that all practice protocols are adhered to.

Try to deal with the patients complaints where possible, or direct the patient to the Practice Complaints Policy.

The post-holder is required to use her/his own initiative when dealing with problems and to make any reasonable and necessary decisions on events as they occur, including:

Establishing and maintaining effective lines of communication with the GPs and Practice Manager.

Communicating clearly and effectively with staff to aid the smooth running of the Practice.

Responding to requests or queries for support as they arise in an appropriate and timely manner.

Prioritising workload and requests for support.

Making the most effective use of resources available.

Using judgement and experience in helping to determine the relevant urgency of or requests for information received from patients and other external organisations.
