Medical Secretaries are representatives of the practice and therefore it is essential the post-holder will:
- Ensure that patients are received in a courteous, reassuring and non-judgmental manner
- Undertake a wide range of clerical tasks, have excellent keyboard skills and knowledge of word processing and data inputting
- Be required to work on their own initiative and be first point of contact for all elements of Secretarial functions such as referrals, letters, providing administrative functions for Cardiology and Minor Surgery Services.
- To be able to work with minimum supervision within the parameters of this job description
- To be part of the multi-disciplinary team and to act as a team member at all times.
Main duties of the job
- To provide an efficient audio, copy typing and word processing service for GPs and Health Professionals as required. This includes the typing of letters, reports, patient referrals, minutes, memorandums, etc. in an accurate and quality manner
- To make appointments, bookings and admissions as required. Choose and Book
- Experienced in all functions of Microsoft Office with high level of knowledge in Excel Spreadsheets
- To establish and maintain filing and administrative systems so that written or computer information is easily accessible and secure
- To retrieve medical records and assist the completion of medical/insurance records
- To receive incoming and initiate outgoing telephone calls in order to facilitate timely and appropriate communications with others, taking messages and dealing with appropriate queries
- To maintain the computer clinic system in an accurate and secure manner
- To assist with the gathering of statistics and information when required
- Maintain adequate supplies of office stationery in order to perform your secretarial duties
- Understanding of Systems such as AccuRx, Lexacom and Iplato
- Charging patients the appropriate amount for private work, providing a receipt to the patient and recording the charge in the applicable spreadsheet
