Job summary

An exciting opportunity has arisen for an enthusiastic individual to join South King Street Medical Centre as an Admin Team Leader.

We are looking for a highly motivated person to join our friendly team to provide efficient administrative support to a well established team.

You will work alongside the Management team to oversee the day to day administration of the practice. You will need to be a flexible team player with excellent organisational and communication skills. The ability to work under pressure and effectively prioritise your own workload is essential. We are looking for a candidate with high standards and an eye for detail.

We are looking for a candidate to work 30 hours a week. Exact working pattern to be determined but must be available to cover a shift pattern Monday to Friday.

Main duties of the job

The following are the core responsibilities of the Admin Team Leader:

Works closely with the Practice team in the co-ordination and distribution of daily work and administration needs.

Ensures that all areas of responsibility are safe and within legal and national regulations to include GDPR data protection regulations.

Completes new starter administration and setting up IT requirements. Supports the Management team with the induction of new staff.

Manages and responds to the practice admin email. Initiates contact with and responds to requests from patients, team members and external agencies.

Codes data on the EMIS clinical system and is repsonsible for the daily workflow to include, results distribution, registration queries, GP2GP. Takes responsibility for all Docman Processes and initiates changes when required.

Inputs data into the patients healthcare records and carries out system searches as requested.

Supports all Clinicians with general tasks as requested.

Arranges cover for absence to assist the team with work prioritisation.

Supports Admin team staff development, providing guidance and direction. Identifies and provides team training when required.

About us

South King Street Medical Centre is centrally located GP Practice with a very friendly and caring team, providing good quality medical care to its 6000 patients. The practice is approved to train future Doctors, as part of their overall medical training as well as teaching medical students. We are therefore focused towards on-going education and learning, supporting all learners in the changing healthcare environment.

We work closely with our PCN and have additional roles within practice such as Clinical Pharmacists, Paramedics, Physician Associates, Social Prescribers and Care Co-ordinators to offer our patients a wider range of access and services.

The following are the core responsibilities of the data administrator. There may be on occasion, a requirement to carry out other tasks; this will be dependent upon factors such as workload and staffing levels:

  • Read Coding data on EMIS
  • Extracting the required data from clinical correspondence and inputting the data into the patient’s electronic healthcare record
  • Coding all secondary care (hospital) letters
  • Monitoring patient call and recall systems
  • Maintain effective security of data all times
  • Support the team in the effective use of searches, audits and recalls
  • Support the team in the use of the clinical system
  • Provide guidance in trouble shooting when requested
  • Act as a liaison between the practice and manage all fault reporting
  • Configure searches and interpret data for audit purposes
  • Summarise patients notes when requested
  • Initiate data quality improvement projects
  • Collate the required data for reporting purposes
  • Ensure new patient records are received electronically and imported onto the clinical system
  • Process patient online applications as required
  • Code results and upload data as require   
In addition to the primary responsibilities, the data administrator may be requested to:

  • Partake in audit as directed by the audit lead
  • Assist in the administration and coding of safeguarding documentation ensuring timescales are met
  • Assist with queries regarding safeguarding matters and refer appropriately
