Growing
collaboration within healthcare in Sheffield provides PCS with a wide range of
working-at-scale opportunities which can improve patient pathways and reduce
cost. In order to match our ambition with our ability to deliver our services effectively
and safely, we require an Executive Administrative Assistant to support our
Senior Executive Assistant as part of our small corporate administration team.
Main duties of the job
You
will work closely with our Senior Executive Assistant to support the Exec Team
who lead PCS, it is your job to provide support to enable the Senior Executive
Assistant to provide excellent administrative services.
This
is a responsible, varied and challenging role, suitable for someone who works
well under pressure, is self-motivated and can multitask, whilst still working
to a very high standard.
About us
Primary
Care Sheffield (PCS) is a GP-led organisation. Our shareholders are 75 GP
practices in Sheffield covering over half a million patients. As well as
providing a unified voice for general practice in the city, we play an active
role both within our Accountable Care Partnership (ACP) and the wider South
Yorkshire and Bassetlaw Integrated Care System (ICS).
General
practice working at scale through PCS enables us to:

Improve the
quality of GP referrals into secondary care with the provision of education,
support and referral guidance to practices across ten outpatient specialities.
·
Provide evening
and weekend appointments, 52 weeks-a-year, with GPs, nurses, physiotherapists
and phlebotomists at six sites around the city.
·
Deliver core
general practice through the Clover Group of seven GP practices
·
Operate 24hr ECG
and vasectomy clinics and the NHS Health Checks programme for the city
·
Provide
governance and support to practices to enable them to work together in
neighbourhoods

The responsibility of providing support to the Senior Exec Assistant to
provide support to the executive to support the achievement of company goals,
and that administrative operations run efficiently
· To support the Senior Exec
Assistant to effectively manage the diaries of the Exec Team
· To provide administrative
support for a range of meetings, to support the development and distribution of
papers, diarising future meetings and for the chasing of agreed actions.

Support the Senior Exec Assistant to ensure the senior executives’
priorities are met, organisational goals are achieved, and best administrative
practices are upheld
·
To undertake IT related administration as required.

for Senior Management and Board

Executive Assistant to manage, co-ordinate and arrange Exec travel and travel
related activities, including hotel booking, transportation and any other
travel related needs or information
· Perform administrative and
office support (e.g. typing, dictation, emails, spreadsheet design, maintenance
of the filing system, contacts database)
· Prepare and edit
documentation in Word, Excel and PowerPoint to produce materials for internal
and external meetings and / or conferences coordinating the production of
agendas and meeting papers for timely distribution in advance of meetings
General
The
